Bilingual English/Spanish - Vendor Management Specialist - HR & Manufacturing

Target Compensation: $105,000 - $130,000 per year Work Authorization: This position is not eligible for visa sponsorship. Position Overview: Delta Electronics is seeking a highly organized, detail-oriented, and relationship-focused Vendor Management Specialist to support staffing vendor operations for our manufacturing organization. This position will serve as the primary liaison between Delta’s Human Resources team, manufacturing leadership, and external staffing agency partners, ensuring contingent workforce needs are communicated, coordinated, documented, and managed effectively. The Vendor Management Specialist will be responsible for the day-to-day administration and coordination of Delta’s staffing agency relationships, including workforce requests, vendor communication, candidate and worker tracking, onboarding coordination, invoicing, timekeeping reconciliation, vendor performance, compliance documentation, and issue resolution. This individual will work closely with manufacturing leaders to understand current and anticipated staffing needs and translate those requirements to approved staffing partners. The role will also partner closely with HR to ensure contingent workers and staffing vendors operate in accordance with Delta’s policies, procedures, contractual requirements, and workforce standards. The successful candidate must be comfortable working in a fast-paced manufacturing environment, managing multiple staffing vendors and workforce priorities simultaneously, and communicating effectively with both English- and Spanish-speaking employees and stakeholders. Key Responsibilities: Serve as the primary day-to-day point of contact between Delta, manufacturing leadership, HR, and external staffing agencies . Manage relationships with approved staffing vendors and ensure consistent communication regarding workforce requirements, priorities, performance expectations, and operational changes. Communicate open temporary/contract staffing needs to staffing agencies, including headcount, shifts, schedules, skill requirements, start dates, and other position-specific requirements. Coordinate candidate submissions, interview or selection activity, start dates, replacements, extensions, conversions, and assignment completions. Ensure staffing agencies receive timely feedback regarding submitted candidates and contingent workers. Facilitate resolution of vendor-related concerns, employee issues, attendance matters, performance concerns, and other workforce needs in partnership with HR and manufacturing leadership. Maintain professional vendor relationships while ensuring staffing partners remain accountable to Delta’s service and performance expectations. Manufacturing Workforce Coordination Partner directly with manufacturing leaders and supervisors to understand current and projected contingent workforce needs. Monitor staffing levels, vacancies, turnover, attendance trends, replacements, and upcoming workforce requirements across manufacturing teams and shifts. Coordinate staffing changes quickly in response to production requirements, employee turnover, absenteeism, or changing business needs. Maintain accurate tracking of contingent workers by staffing agency, department, shift, supervisor, assignment status, and start/end date. Participate in staffing and workforce planning meetings as needed and provide updates regarding vendor activity, fulfillment, and outstanding needs. Coordinate onboarding requirements for contingent workers in partnership with HR, manufacturing leadership, and staffing agencies. Verify required documentation and pre-employment requirements have been completed prior to contingent workers beginning assignments. Maintain accurate records of temporary workers, assignment details, conversions, terminations, extensions, and other workforce changes. Support badge/access requests, orientation coordination, scheduling, and other administrative requirements associated with contingent worker onboarding. Ensure staffing agencies and contingent workers follow established Delta policies, procedures, safety requirements, and facility expectations. Invoicing, Timekeeping & Reconciliation Review staffing agency invoices for accuracy, including bill rates, hours worked, overtime, approved expenses, and other applicable charges. Partner with manufacturing supervisors and internal stakeholders to resolve discrepancies between timekeeping records and vendor invoices. Track invoice submissions, approvals, corrections, and outstanding issues to ensure timely and accurate payment. Maintain organized records of staffing agency rates, markups, invoices, purchase orders, and other vendor-related documentation. Partner with HR, Finance, Procurement, and manufacturing leadership to resolve billing or contractual discrepancies. Support reporting related to contingent labor spend, headcount, overtime, agency utilization, and other workforce costs. Monitor staffing agency performance against established expectations, including candidate quality, fulfillment rates, attendance, turnover, responsiveness, and overall service delivery. Maintain vendor scorecards, performance reports, and other tracking tools to provide visibility to HR and manufacturing leadership. Identify recurring vendor performance concerns and coordinate corrective action or escalation when appropriate. Ensure staffing agencies maintain required agreements, insurance, compliance documentation, and other required records. Reporting & Process Improvement Develop and maintain accurate staffing reports, vendor trackers, contingent workforce rosters, invoice logs, and operational dashboards. Provide regular updates to HR and manufacturing leadership regarding open staffing requests, fulfillment, headcount, turnover, attendance, vendor performance, and outstanding issues. Identify gaps within staffing vendor processes and recommend improvements to increase efficiency, accountability, and visibility. Assist with additional HR operational projects and workforce initiatives as needed. Required Qualifications: 5+ years of experience in vendor management, staffing operations, contingent workforce management, HR operations, staffing agency management, workforce coordination, or a closely related function. Experience supporting staffing/vendor operations within a manufacturing environment highly preferred. Bilingual English/Spanish required , with the ability to communicate effectively with employees, manufacturing leadership, and external staffing partners. Demonstrated experience working directly with temporary staffing agencies or contingent workforce vendors . Experience coordinating high-volume hourly staffing requirements, preferably within a multi-shift manufacturing environment. Strong understanding of staffing agency processes, including requisitions/workforce requests, candidate submissions, onboarding, timekeeping, invoicing, conversions, assignment changes, and terminations. Experience reviewing staffing invoices, bill rates, timekeeping records, and resolving discrepancies. Strong vendor relationship management and stakeholder coordination skills. Excellent organizational and documentation skills with the ability to maintain accurate records across multiple vendors and workforce populations. Strong communication and problem-solving skills with the ability to manage competing priorities and resolve issues quickly. Proficiency with Microsoft Office Suite, particularly Excel , for workforce tracking, reporting, reconciliation, and data analysis. Experience working with HRIS, ATS, VMS, timekeeping, payroll, procurement, or workforce management systems. Ability to work 100% onsite in Plano, Texas and effectively support the needs of a fast-paced manufacturing operation.
