Fast-Paced Diesel & Fleet Repair Environment About Us We are a growing, high-volume truck and bus repair company looking for a strong, organized, no-excuses Office / Business Manager who can keep operations flowing smoothly in a fast-moving shop environment. This is not a sit-back-and-answer-emails position. This role is for someone who can wear multiple hats, handle pressure, solve problems quickly, and keep both the office and shop running efficiently. If you can handle grease, grime, ringing phones, payroll deadlines, multiple customers, mechanics needing paperwork right now, and still keep the day organized... you’ll fit right in. Position Overview The Office / Business Manager will oversee daily office operations while supporting shop workflow, employee coordination, customer communication, and financial organization. The ideal candidate has experience in a mechanic shop, fleet environment, diesel repair shop, or similar blue-collar service business. You must be highly organized, dependable, detail-oriented, and able to multitask without falling apart when things get hectic. Responsibilities Manage Accounts Receivable (A/R) and Accounts Payable (A/P)Process payroll accurately and on time
Handle invoicing, collections, and payment tracking
Coordinate employee scheduling and time tracking
Assist with HR duties including onboarding and employee files
Manage customer communication and client relationships
Support daily shop operations and workflow coordination
Work directly with mechanics, vendors, and customers
Maintain organized records and office systems
Handle incoming calls, dispatching, and scheduling
Track vendor invoices
Ensure smooth communication between office staff and shop personnel
Help improve efficiency and keep operations moving Qualifications Previous experience managing or working in a mechanic shop, diesel shop, fleet shop, or automotive environment preferred
Strong knowledge of payroll, invoicing, A/R, A/P, and office management
Experience with QuickBooks or similar accounting software preferred
Strong leadership and employee management skills
Ability to multitask in a high-volume environment
Excellent communication and problem-solving abilities
Comfortable in a blue-collar, fast-paced work environment
Thick skin, strong work ethic, and ability to adapt quickly
Reliable transportation and dependable attendance required Ideal Candidate Organized but can move fast
Not afraid to get hands dirty in a shop environment
Can manage chaos without creating more of it
Knows how to communicate with technicians and customers alike
Self-motivated and takes initiative
Can prioritize tasks without constant supervision
