Job Title: Clinical Research Assistant Job Description

The Clinical Research Assistant supports the successful conduct of clinical trials by performing a variety of administrative and clinical research tasks. This role assists in the collection and management of patient data, helps maintain regulatory and study documentation, and ensures that study procedures are completed accurately and on schedule. The position contributes directly to high-quality clinical research by coordinating subject visits, managing study systems, and supporting investigators and coordinators in day-to-day trial operations.

• Verify and correct research study information on source documents to ensure accuracy and completeness.
• Research data queries and variances, and provide clear feedback to site data collectors to resolve discrepancies.
• Input research study data into the Electronic Data Capture (EDC) system while maintaining strict quality control for content, accuracy, and completeness.
• Prepare, organize, and maintain research study files so that documentation is current and easily accessible.
• Compile, collate, and submit study information and required reports within established deadlines.
• Assist in the maintenance of regulatory documentation, including updating and organizing regulatory binders.
• Schedule subject visits and generate appropriate reports and documents for research participants prior to their appointments.
• Enter visit data into the Clinical Trial Management System (CTMS) to track patient visits and procedures completed against the study budget.
• Process required laboratory specimens, including labeling vials, completing requisitions accurately, and preparing samples for storage and/or shipment according to study protocols and packaging and shipment regulations.
• Perform various administrative support functions such as reception duties, office organization, and office supply management.
• Prescreen referrals and review charts from the site database to identify potential study participants.
• Conduct chart reviews and pre-screening of patients for clinical trial eligibility.
• Perform data entry and query resolution in study databases and portals.
• Schedule study visits, send reminders, and update study portals with current participant and visit information.
• Provide patient education related to study participation and procedures.
• Support community outreach activities related to clinical research studies.
• Maintain and update regulatory binders and study documentation.
• Process and ship laboratory samples in accordance with study and regulatory requirements.
• Monitor and maintain study supplies and materials to ensure adequate inventory for ongoing trials.
• Carry out general administrative tasks to support the clinical research team.

• Basic knowledge of clinical trials and the clinical research process.
• In-depth knowledge of departmental, protocol, and study-specific operating procedures, consent forms, and study schedules.
• Basic knowledge of medical terminology used in clinical research and patient care.
• Proficiency using MS Windows and Office applications, including Access, Outlook, Excel, and Word.
• Excellent interpersonal skills, with the ability to interact professionally with patients, clinical staff, and research team members.
• Experience or familiarity with oncology and clinical research workflows.
• Ability to work with electronic medical records (EMR) systems.
• Competence in managing data, documents, and case report forms for clinical trials.
• Experience with chart review and pre-screening patients for clinical trial eligibility.
• Ability to perform data entry accurately and resolve data queries in clinical trial systems.
• Strong organizational skills and attention to detail for managing documentation and deadlines.

• BS/BA in life sciences or an educational equivalent is preferred.
• Relevant work experience in a clinical environment or medical setting, such as experience as a clinical research coordinator, nurse, or medical assistant.
• Comfort working with clinical trial management systems and electronic data capture platforms.
• Ability to manage visit scheduling, send reminders, and update study portals efficiently.
• Experience providing patient education and supporting community outreach related to clinical studies.
• Skill in maintaining regulatory binders and study files in compliance with protocols and regulations.
• Ability to process and ship laboratory samples in accordance with study protocols.
• Capability to maintain study supplies and support office organization and administrative tasks.
• Tech-savvy mindset with the ability to learn and use new software and systems quickly.

This is an office-based, part-time position in a clinical research setting. The schedule is typically Monday through Friday for approximately 4.5 to 5 hours per day, generally between 9:30 a.m. and 2:00–2:30 p.m., for a total of about 24 hours per week over a 25-week period. Work is performed in a hospital-based environment in Pittsburgh, Pennsylvania, with regular interaction with clinical staff, patients, and research team members. The role involves extensive use of computers, clinical trial management systems, electronic data capture tools, and office applications, as well as handling laboratory specimens and study supplies. The setting is professional, organized, and focused on patient care and high-quality clinical research, with an expectation of appropriate professional attire suited to an office and hospital environment.

This is a Contract position based out of Pittsburgh, PA.

The pay range for this position is $30.00 - $30.00/hr.
