Facilities Coordinator

The Facilities Coordinator will play a vital role in ensuring the smooth operation and maintenance of facilities within the financial services sector in Greenwich. This position will partner directly with the Facilities Director to manage vendors, day to day operations, and support construction projects, office moves, and build-outs. This financial services firm in headquartered in CT and has offices across the country and globally. This is a newly created position in a very fast paced, dynamic, white-glove-services focused environment. Description Coordinate daily facilities operations, ensuring all systems and equipment function effectively. Schedule and oversee routine maintenance and repairs, working closely with vendors and contractors. Manage facility-related budgets and track expenses to ensure cost efficiency. Respond to and resolve facilities-related issues promptly to maintain a safe and productive work environment. Ensure compliance with health and safety regulations and company policies. Maintain accurate records of maintenance schedules, vendor contracts, and facility inspections. Collaborate with the secretarial and business support team to address workspace needs and improvements. Support special projects and office relocations as needed. Profile A successful Facilities Coordinator should have: Strong organizational and multitasking skills to manage multiple facilities tasks efficiently. 4+ years of experience in facilities (either as an Executive Assistant, Office Manager, or Facilities Coordinator), ideally in a professional services or financial services environment. Experience with coordinating maintenance schedules and working with vendors or contractors. Experience with construction drawings or CAD is strongly preferred. Proficiency in using office software for tracking budgets and maintaining records. Excellent communication skills to collaborate with internal teams and external vendors. A proactive approach to identifying and resolving facilities-related issues. Job Offer Competitive salary ranging from $100-120K per year.
