Office Manager

We are hiring for a part-time in person position at Gallery Homes Real Estate. This is an hourly role with 12 paid planned personal/vacation days per year. Expectation is 25-30 hours Monday- Friday, with some exceptions for special events. At our brokerage, we don’t hold you accountable for simply doing the work or being present-but rather for the results and forward progress you create. Gallery Homes Real Estate provides transparency and support by holding one-on-ones to provide feedback and review expectations and targets. . To create the results needed for this role you will: Respect the confidential information of our clients and the brokerage Keep an uncluttered, clean office space, desk, and computer desktop Manage & Plan office supplies and inventory Pay close attention to details & follow very detailed processes Ownership mindset in regards to the upkeep and appearance of the office space Organizational skills and ability to multitask and prioritize time sensitive jobs Basic navigational skills to use iMac & it’s software (Numbers, Notes, Screen Mirroring) Manage and coordinate office calendar and events (Google, Google Meet, Zoom) Perform timely data entry on multiple software programs (MLS) Become the in-office expert on MLS rules & regulations Meticulously track agent sales on spreadsheets and software Keep office electronic files compliant with Ohio Division of Real Estate Process documentation for both sellers and buyers (Dropbox & Dotloop) Follow current office processes (Trainual & Trello) Manage & pay bills, agent invoicing, bank deposits and disbursements (Quickbooks, Dropbox, Google Drive, Xerox) Assist with Division of Real Estate guidelines with respect to Earnest Money collection, physical records, deposits & disbursements Support agents in their specific needs to enhance their efficiency and advertising Assist with onboarding new agents or staff Work and communicate closely with leadership on a weekly basis via phone, zoom, email, text Create an upbeat, positive & inclusive office environment Coordinate & engage in social media posts that enhance the image, brand & reviews of Gallery Homes Real Estate (Canva, Slack, Facebook, Instagram, & Tik Tok) Use upscale, professional grammar both verbally & online Light office cleaning such as vacuuming, taking out trash or old food, dusting, sanitizing, etc. You will show heightened potential if you: Find highly detailed work to be fulfilling.
