About the Role

We’re looking for a detail-oriented Assistant Bid Coordinator to support our estimating team in preparing accurate, on-time bids and proposals for projects across our South Florida and Central Florida regions. This is a full-time, in-office position ideal for someone who is organized, dependable, and comfortable juggling multiple deadlines. You’ll play a key role in keeping our bid pipeline moving and helping us win more projects.

What You’ll Do

•     Assist estimators in preparing and assembling bid packages and proposals.

•     Gather and organize project documents, plans, specifications, and supplier quotes.

•     Track bid due dates, addenda, and deadlines, and help keep the bid calendar up to date.

•     Request and follow up on subcontractor quotes.

•     Enter and maintain bid data in spreadsheets and/or estimating software.

•     Communicate with vendors, suppliers, and team members to collect missing information.

•     Proofread proposals for accuracy and completeness before submission.

•     Maintain organized digital and physical filing of bid records.

•     Provide general support to the estimating, production, and service departments as needed.

What We’re Looking For

•     Strong attention to detail and accuracy with numbers and documents.

•     Excellent organization and time-management skills; able to meet deadlines.

•     Comfortable with computers, email, and spreadsheets (Microsoft Office — Excel, Word, Outlook).

•     Able to sit and perform focused desk and computer work for extended periods.

•     Clear written and verbal communication skills.

•     Reliable, self-motivated, and able to work on-site in Oakland Park, FL.

•     Prior experience in construction, roofing, estimating, or office administration is a plus

•     High school diploma or equivalent.

Bonus Points For

•     Familiarity with roofing or construction terminology.

•     Construction bid applications — BuildingConnected, ConstructConnect, DemandStar, etc.

•     Bilingual (English/Spanish).
