Pablo Center is seeking an organized, energetic, and dependable individual to support STEAM programs, afterschool clubs, summer classes, outreach, and special events. 

This is a hands-on position that requires strong organization, communication, problem-solving, and teamwork. The coordinator will manage multiple programs and priorities while working closely with the Education & Outreach Manager and team. The role also provides additional support during busy periods, staff absences, and special events.

  Schedule & Work Environment  

• Onsite position at Pablo Center at the Confluence.  
• Typical schedule is Monday–Friday or Tuesday–Saturday.  
• Occasional evenings, weekends, and early mornings may be required, especially during summer programming.  
• Occasional travel may be required for outreach and events.  
• Regular movement throughout the building and occasional lifting of materials up to 25 pounds. 

Key Responsibilities Program Coordination  

• Manage registrations, payments, forms, records, and program files. 
• Communicate with families, instructors, volunteers, interns, mentors, and community partners. 
• Coordinate schedules, supplies, materials, and program logistics. 
• Support classes, camps, robotics teams, youth programs, outreach, and special events. 
• Solve problems and help improve program processes. 

Budget & Data  

• Track budgets, expenses, revenue, invoices, and purchases. 
• Assist with financial reports and grant tracking. 
• Track attendance, registration, participation, and program outcomes. 
• Maintain spreadsheets and prepare basic reports. 
• Use Microsoft Excel for formulas, sorting/filtering, linked worksheets, and basic data analysis. 

Events & Team Support  

• Coordinate logistics for events, competitions, field trips, and student travel. 
• Help arrange transportation, hotels, meals, schedules, and parent communication. 
• Prepare materials and assist with event setup, check-in, and cleanup. 
• Provide onsite support and troubleshoot issues as they arise. 

Marketing & Communication  

• Create flyers, social media graphics, signage, and presentations using Canva. 
• Assist with emails, outreach, and promotional materials. 
• Communicate professionally and promptly with participants, families, partners, and staff. 

Evaluation & Team Support  

• Collect surveys, feedback, attendance, and program data. 
• Assist with program reports and evaluations. 
• Provide administrative support to the Education & Outreach Manager and team. 
• Assist with special projects and other program needs. 

Required Qualifications  

• Strong communication and organizational skills. 
• Excellent time management and attention to detail. 
• Experience with budgets, expenses, or financial tracking. 
• Experience organizing and reporting data. 
• Intermediate Microsoft Excel skills. 
• Proficiency with Canva, Outlook, Google Workspace, and other digital tools. 
• Ability to manage multiple programs, deadlines, and priorities. 
• Reliable, self-motivated, and able to work independently. 
• Strong problem-solving and follow-through skills. 
• Professional, positive, and responsive communication. 

Preferred Qualifications  

• Experience in education, youth programs, camps, schools, museums, arts, or community programs. 
• Experience working with youth, families, instructors, volunteers, or community partners. 
• Experience with robotics, STEAM, or arts education. 
• Experience with grants, nonprofit finances, events, competitions, or student travel. 
• Experience with registration or program management systems.
