Stanford Hospital is seeking an experienced Registered Nurse (RN) Preference Card Coordinator to support an accurate, efficient, and data-driven preference card system across multiple sites.

The Preference Card Coordinator will serve as a Subject Matter Expert (SME) in EPIC preference cards, working closely with staff, clinicians, managers, vendors, Supply Chain, SPD, Bio Engineering, and other departments to ensure that all required instruments, specialty supplies, implants, tissues, and equipment are accurately reflected on preference cards for scheduled procedures.

• Role: Preference Card Coordinator RN
• Work Week: 40 hours per week
• Pay: $3,305$3,545 gross weekly, based on a 40-hour week. Stanford pays on experience.
• Local & Travel Rates: Vary
• Traveler Requirement: Must live at least 60 miles outside of Palo Alto, CA

Key Responsibilities

• Serve as the subject matter expert for EPIC preference card management.
• Create, set up, maintain, and train staff on organizational preference card standards.
• Maintain and update preference cards regularly to ensure accuracy.
• Analyze and prepare the following day's surgical cases.
• Review cases to ensure correct mnemonics are assigned and scheduled appropriately.
• Verify that the correct preference cards are assigned to each case.
• Review cases for corrections, special needs, and potential conflicts.
• Create, delete, and modify preference cards and groups as needed.
• Document and follow up on missing case information.
• Review multiple-mnemonic cases for duplicate or excessive supplies, instruments, and equipment.
• Create new cards and modify pick lists as needed, particularly for multi-card and multi-panel cases.
• Review schedules for add-on cases and notify OR schedulers of necessary corrections.
• Maintain naming conventions for cards, equipment, supplies, and instruments.
• Authorize mnemonics for service lines and/or locations as needed.
• Process preference card and mnemonic requests from service heads and managers.
• Support service heads with Preference Card Coordinator workflow standards and card-change requests.
• Collaborate with Supply Chain, Item Master, and SPD regarding additions, deletions, and substitutions.
• Build and maintain core pick lists.
• Submit IT requests as needed.
• Maintain equipment pool quantities and preference cards.
• Run basic supply, instrument, and equipment reports.
• Perform daily collection and audits of preference cards and pick lists from previous-day cases.
• Work collaboratively with vendors and internal departments to support successful onboarding of new surgeons and ongoing maintenance of the preference card system.

Required Qualifications

• Bachelor's Degree or equivalent years of service
• Minimum 5 years of recent intra-operative experience in an acute-care OR environment
• Strong knowledge of surgical services and OR operations
• Strong service-level knowledge
• Experience with EPIC preference cards strongly preferred/required for the role
• Excellent communication and relationship-building skills with clinicians, staff, managers, vendors, and support departments

Certification Requirements

• California RN license
• ACLS
