Buildings & Grounds Admin Asst - VHHS
The Building and Grounds Administrative Assistant will provide administrative and clerical support for the Assistant Director of Buildings and Grounds and others as needed/assigned.
Reports to: Assistant Director of Building and Grounds
Employee Status: Educational Support Professional - Building and Grounds Admin Asst ESP Bargaining Union
Calendar: Twelve-Month Employee, 7:30am - 4:00pm
Qualifications: Education and experience equivalent to high school graduation
Professional/Personal Characteristics:
- Previous experience in an educational setting preferred
- Excellent organizational skills and time management skills
- Ability to perform multiple tasks concurrently under varying deadlines
- Strong communication and interpersonal skills
- Ability to identify sensitive information and maintain confidentiality
- Proficient with Google G-Suite, office and phone equipment
Job Responsibilities:
- Act as primary contact for the custodial, grounds and maintenance team on day to day operations
- Receive, create, distribute, track and follow up on work orders
- Maintain event set up files
- Maintain a team management calendar
- Track department expenditures and assist with monthly financial reports
- Use Google Suites, Skyward (financial management system), RSchool (facility management system) and Maintenance Direct
- Positive customer service skills, utilize excellent written and verbal communication
- Operate office equipment (ex. laminator, fax, intercom, phone, copier)
- Create department requisitions and purchase orders
- Maintain hard copy and electronic filing system.
- Assist with building shipping and receiving
- Maintain confidentiality
- Support all tasks as assigned by supervisor
