Under general direction, provides administrative and operational support to assigned department or division. Prepares routine communications including memos, correspondence, emails, reports, and other documents. Performs data entry and assists with compiling and organizing information. Maintains and updates office records, files, and documentation. Assists with coordinating projects, assignments, and departmental activities. Schedules meetings and responds to routine inquiries. Utilizes standard office software and systems to complete assigned tasks. Performs related duties as required. Associates Degree in Business or Public Administration or closely related field preferred. Two years of full-time paid experience in government or private industry office administration required, or any equivalent combination of education, training and experience may substitute for each year of college education lacking. Proficiency in office software (such as Microsoft Office, including Word, Excel and Outlook). Strong organizational, written and verbal communication skills with attention to detail. About CD The Department of Community Development (“CD” or “the Department” or “we” or “us”) is the City’s core unit dedicated to designing and implementing programs that help to improve our neighborhoods, community networks and social structures, reduce and mitigate safety and healthrisks related to occupied and vacant properties, and coordinating with internal government units and external parties to help address housing shortfalls and homelessness matters. Our mission is to improve the quality of life in the City of Cleveland by strengthening our neighborhoods through successful housing rehabilitation efforts, commercial rehabilitation efforts, new housing construction, homeownership, and community focused human services. As a result, CD is the City’s lead department for implementation of more than $30 million in annual funding received from the U.S. Department of Housing and Urban Development (HUD), including funding for the Community Development Block Grant (CDBG), HOME Investment Partnerships (HOME) Program, Emergency Solutions Grant (ESG), and the Housing Opportunities for Persons with AIDS (HOPWA) Program. CD consists of the following primary operating units (OUs): Bureau of Program Operations; Bureau of Community Programming; Bureau of Residential Improvement; Bureau of Enterprise Operations; The above OUs are led by Bureau Chiefs, who report to the Department’s Assistant Directors. Additional Departmental Duties: The Community Development Specialist is a position that resides in each of the major OUs for the Department. Therefore, the day-to-day tasks will vary based on OU assignment. The principal duties and responsibilities of the position include: Processing applications for program participation; Responding to questions, calls, and emails from the public and program partners; Developing and documenting procedures, program communications and documents, and correspondence; Conduct various analyses as requested by directors, managers, and supervisors; Planning and coordinating community events; Developing and delivering presentations; Conducting property visits, researching property history, planning for property improvements, acquisitions, and dispositions; Researching, accumulating, and generating data needed for reporting; and Other duties as assigned by their Director, Assistant Director and/or supervising Bureau Chief. Proof of education and employment references will be required before interview. Employment predicated upon successful completion of criminal record check and drug testing. New hire will be considered aprobationary employee for the first 120 days of employment.
