- Answer and route incoming phone calls
- Coordinate client arrivals and meeting flow
- Maintain a polished and organized front office environment
- Manage document drop-offs, pickups, and front desk organization
- Support an exceptional client experience from start to finish
- Help maintain a clean, organized, and professional office environment
- Prepare conference rooms for meetings and events
- Order and manage office, kitchen, and supply inventory
- Coordinate facility requests and vendor communication
- Manage mail, packages, certified mail, and document distribution
- Support onboarding logistics and internal office coordination
- Assist with firm lunches, meetings, and seasonal events
- Assist with collections follow-up and administrative finance tasks
- Support expense tracking and month-end billing processes
- Maintain organized documentation and reporting support
- Provide general administrative assistance across departments
- Assist with organizing and processing tax-related documents during busy season
- Coordinate client follow-ups for missing information
- Support delivery tracking, signatures, and document flow
- Provide additional administrative support during peak periods
- 1+ year of administrative, office support, or client service experience (professional services experience preferred)
- Professional and welcoming communication skills, both in person and over the phone
- Strong organizational skills with high attention to detail
- Ability to manage multiple priorities and adapt throughout the day in a fast-paced environment
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and ability to quickly learn new systems
- Ability to work independently while exercising good judgment and knowing when to seek guidance
- Reliable attendance and ability to consistently maintain front desk coverage
- Experience in a CPA firm, legal office, or other professional services environment
- Experience supporting high-volume or seasonal workloads
- Exposure to billing, collections, or administrative finance support
- Experience with document management systems or client portals such as SafeSend or ShareFile
- Experience supporting office operations, facilities coordination, or broader administrative management responsibilities preferred
- Calm, professional demeanor in an interruption-driven environment
- Strong sense of ownership and accountability
- Proactive mindset with the ability to anticipate needs
- Flexibility and willingness to support a variety of administrative and operational tasks
- Ability to stay organized and detail-oriented while balancing competing priorities
