Job Title: Scheduler Assistant

Location: Union, NJ (Hybrid: 1–3 days onsite weekly at the Green Lane office)

Schedule: Full-Time | Monday – Friday, 7:00 AM – 4:00 PM EST

Position Type: 6-Month Contract (Potential for extension)

About the Role

We are seeking an organized and proactive Scheduler Assistant to join our team in Union, NJ. In this role, you will play a vital part in supporting administrative functions, ensuring regulatory compliance, and managing daily customer workload.

This hybrid position is ideal for someone who excels at customer call scheduling, managing work orders, handling office records, and keeping field crews running efficiently.

Key Responsibilities

• Make outbound calls to customers to schedule service appointments accurately.
• Assist in coordinating permits, mark-outs, and traffic control required for scheduled field work.
• Update workforce management systems with weekly/monthly schedules and assign work orders to field crews.
• Retrieve service cards, maintain records, and perform data entry in scheduling systems.
• Support general office administration duties and other job-related tasks as assigned.

Qualifications & Requirements

• Experience: Prior experience with office support, general admin duties, and record/data management.
• Communication: Confident making clear, professional outbound calls to schedule appointments.
• Technical Skills: Proficient in Microsoft Outlook, Excel, and Word; comfortable using scheduling tools and workforce management systems.
• Organization: Strong ability to prioritize tasks, maintain accuracy, and stay organized in a fast-paced environment.
• Knowledge: Familiarity with work order assignments, permits, or scheduling workflows is a plus.

Work Environment & Schedule

• Shift: 7:00 AM to 4:00 PM EST, Monday through Friday.
• Location: Hybrid arrangement in Union, NJ (typically 1 to 3 days onsite on Tuesdays, Wednesdays, and Thursdays, with flexibility once fully trained).
