Facilities Our Workplace and Facilities Management team plays a pivotal role in creating and delivering a positive and successful employee experience across our real estate portfolio. This can include defining and evolving our workplace strategy, managing office layouts, seating arrangements, meeting rooms and the associated services required to ensure the successful day-to-day operation of our facilities – including the physical assets such as furniture, equipment, and infrastructure. About the role As part of Vestacy’s strategic global plans for the future, we are seeking an experienced, proactive, innovative, and execution-focused individual for this exciting new role within our organization. Reporting directly to the Senior Lead, North America Transformation with a dotted line the Global WFRE Facilities Director, the Facility Project Manager will be responsible for supporting the operational management, workplace experience, facilities services, and real estate initiatives across North America (US and Canada). The role will be based out of Parsippany, New Jersey and will operate in a hybrid working model consisting of three days onsite and two days remote. This role will also maintain a dotted line relationship with the Global WFRE (Workplace, Facilities, Real Estate) organization based in Amsterdam to support alignment with global workplace standards, governance, and strategic initiatives. The individual will be responsible for the strategic management and operational oversight of workplace and facilities activities, ensuring safe, compliant, efficient, and employee-centric office environments that support Vestacy’s future growth and transformation objectives. Your responsibilities Key Responsibilities Manage the day-to-day operations of regional property portfolio (US and Canada) including commercial offices, workplace locations, and R&D or other sites where applicable Support the design, review, and execution of global WFRE strategy, policies, and operational guidelines alongside the Global WFRE Director and regional leadership. Lead and support workplace-related change management initiatives across the organization. Identify staffing and operational requirements necessary to support workplace and facilities operations effectively. Support the reorganization and optimization of workplace and facilities structures within the region. Develop and maintain strong vendor partnerships to drive operational efficiencies and high-quality service delivery. Foster strong communication and collaboration internally and externally across all stakeholder groups. Manage lease events, lease administration activities, extraction and interpretation of key lease clauses, obligations, and associated risks. Support and/or lead Real Estate capital expenditure projects including relocations, office renovations, workplace modernization initiatives, and facility improvements. Collaborate closely with the Global WFRE team on construction, renovation, and workplace enhancement initiatives. Partner with Finance to ensure appropriate budget management, cost controls, and operational efficiency. Support facilities operational budget management including OPEX and capital expenditure tracking. Work closely with key stakeholders to maximize operational savings and support efficient service delivery models. Lead regional Real Estate Committee meetings and collaborate with internal stakeholders to support approvals and governance processes. Oversee facilities management vendors responsible for hard and soft services including HVAC, cleaning, catering, security, storage, mailroom, maintenance, and reception services. Monitor vendor performance against KPIs, SLAs, and operational expectations. Ensure all maintenance services are delivered in accordance with established standards and compliance requirements. Manage workorder request with landlords Act as main point of contact with landlord Support emergency preparedness, business continuity planning, and workplace incident response activities. Maintain accurate workplace and facilities documentation, compliance records, and operational reporting. Occupational Safety, Health & Environmental (EHS) Responsibilities Promote and maintain a strong culture of workplace safety, compliance, and employee wellbeing. Partner with Environmental Health & Safety (EHS) organization to ensure compliance with OSHA requirements and internal safety standards. Support facility safety inspections, audits, workplace risk assessments, and corrective action plans. Coordinate contractor and vendor compliance with workplace safety protocols and operational safety requirements. Assist with incident reporting, investigations, and implementation of corrective and preventive actions. Support emergency response procedures, evacuation planning, ergonomic initiatives, and employee safety awareness programs. Partner with Sustainability teams to support environmental and sustainability objectives within the office environment. The experience we're looking for Bachelor’s degree in Facilities Management, Engineering, Business, Project Management, or related discipline preferred. 7–10+ years of professional experience in facilities management, workplace operations, real estate, or facility project management. Strong project management, organizational, and problem-solving capabilities to drive on-time delivery. Experience managing facilities vendors, operational budgets, and workplace service contracts. Strong understanding of workplace safety, OSHA compliance, and facilities risk management. Demonstrated ability to influence and collaborate across cross‑functional and global stakeholder groups. Excellent communication, interpersonal, and executive stakeholder management skills. Strong ability to drive results through leading teams, change/communications, detailed tracking of milestones, and global collaboration/stakeholder management. Experience supporting hybrid workplace environments and employee‑centric workplace strategies preferred. US pay transparency Our compensation philosophy is simple: we pay a competitive base salary, within the local market in which we operate, and reward performance during our annual merit review process. The salary range for this role is $122,000 - $153,000 annually, commensurate with the skills, talent, capabilities, and experience each candidate brings to a role.
