About the Role


Express Employment Professionals is hiring an Office & Accounts Payable Manager for manufacturing and light-industrial clients across the Hayward, Fremont, Union City, and Newark area. This is a hybrid role for someone who can run the day-to-day office while also owning the AP function - a key employee who keeps vendors paid, records accurate, and the front office running smoothly.

What You'll Do


Accounts Payable

• Process vendor invoices for raw materials, tooling, MRO (maintenance/repair/operating) supplies, and outside services, matching against purchase orders and production receiving records (3-way match)
• Work directly in ERP/MRP systems (e.g., SAP, NetSuite, Epicor, JobBOSS) to track PO status, receipts, and open liabilities tied to production
• Prepare and process weekly/biweekly payment runs (checks, ACH, wire)
• Reconcile vendor statements and resolve discrepancies, including short shipments, damaged material, and pricing variances on raw material orders
• Maintain W-9s and support 1099 preparation
• Support month-end close, accruals, and cost-of-goods (COGS) reporting tied to production activity
• Track freight, customs/duties, and import documentation for material shipments where applicable
• Track and manage recurring payments, expense reports, and petty cash

Office Management

• Oversee daily office operations, supplies, and equipment
• Manage vendor relationships and service contracts (facilities, IT, office supplies, equipment maintenance)
• Coordinate with purchasing, production, and plant/operations managers on material lead times, vendor issues, and supplier scorecards
• Support onboarding paperwork and personnel record-keeping for both office and production staff
• Maintain compliance documentation relevant to a manufacturing site: safety training sign-offs, certificates of insurance from vendors/subcontractors, workers' comp files
• Coordinate scheduling, meetings, and company events as needed
• Ensure the office supports compliance with basic workplace health and safety requirements
• Serve as a point of contact between the front office and the production/warehouse floor

What We're Looking For

• 3-5 years of combined office management and accounts payable experience, ideally in a manufacturing, industrial, or distribution environment
• Proficiency in QuickBooks or similar accounting software, plus strong Excel skills
• Hands-on experience with ERP/MRP systems (SAP, NetSuite, Epicor, JobBOSS, or similar) strongly preferred
• Understanding of how raw material costs, BOMs, and purchase orders flow into AP and COGS
• Strong attention to detail and accuracy in financial data reconciliation
• Excellent vendor relationship management and communication skills, including with material and equipment suppliers
• Ability to manage competing priorities and hit month-end close deadlines
• Comfortable moving between an office setting and a production floor, including required PPE (safety glasses, closed-toe shoes, etc.)
• Bilingual (English/Spanish or English/Vietnamese) a plus for some client sites
