Job Description - Director Admin Office of the COO (28582) Director Admin Office of the COO - 28582 Job Summary Serves as a strategic extension of the Health System Chief Operating Officer and supports the COO's direct reports by advancing enterprise priorities and driving execution across the health system. Plays a pivotal role in reporting to and supporting the COO's office by fostering seamless communication and driving health system priorities. Collaborating closely with the Health System COO to ensure organizational objectives are met. Responsible for strategic thinking, project management expertise, and the ability to handle confidential information with the utmost discretion. Contributes to the organization's success by providing critical support to the COO's office and contributing to the overall effectiveness and efficiency of the health system. Job Specific Duties Manage communication flow between the Office of the COO and various health system departments; facilitates efficient information exchange. Conduct research, work with key stakeholders to obtain necessary information, prepare briefs and conduct daily briefings to the COO to ensure maximum preparedness for all events, meetings, and engagements. Work with the COO and operations teams for preparation of all executive level presentations and reports, synthesizing complex information into clear and concise formats. Lead major, cross‑departmental projects to ensure they are finished on time. Oversee enterprise operational initiatives sponsored by the Health System COO, ensuring appropriate governance, milestone tracking, risk escalation and executive reporting. Partner with a broad range of internal stakeholders and groups, frequently related to matters of immediate concern, and coordinate responses. Support the COO with coordinated responses, solutions and follow‑ups. Conduct research and prepare briefing materials on significant matters that require the attention of the COO or the board. Work with the COO to plan and execute key regular meetings, ensuring all prep work is completed on time and disseminating clear summaries with actions and follow‑ups. Oversee the coordination and preparation of all materials and agendas, and attend key leadership meetings (e.g., ELT, QOR, ELC) at the request of the COO. Lead integration and transformation initiatives on behalf of the Health System COO, coordinating executive leaders and cross‑functional teams to successfully execute strategic affiliations, market expansions, facility openings and other strategic initiatives. Establish governance, monitor milestones and organizational readiness, proactively resolve barriers, and ensure timely execution. Work with key stakeholder groups that report through the Office of the COO to ensure budgets and expenses are properly prepared and managed across all related cost centers. Serve as representative and liaison, as needed, on behalf of the organization and as directed by the Office of the COO. Qualifications Bachelor's Degree in Healthcare, Business Management, or related field 5–7 years of demonstrated exceptional people leadership Knowledge, Skills, and Abilities 3–5 years of proven experience in a similar role and demonstrating effective support to C‑level executives. Strategic thinking and the ability to contribute to organizational planning. Demonstrated leadership skills and the ability to work both independently and collaboratively. Exceptional organizational and project management skills. Handles confidential information with discretion and maintains a high level of professionalism. Strong analytical and problem‑solving abilities. Excellent written and verbal communication skills. Ability to thrive in a fast‑paced and dynamic environment. High level of integrity and ability to handle sensitive information. Ability to flex communication style and adapt to complex and ambiguous environments.
