Office & HR Coordinator

Location: On-site
Job Type: Full-Time, Non-Exempt
Schedule: Monday–Friday, 8:00 AM – 4:30 PM
Length: 1 month (covering for LOA) - must be available for the length of the assignment and commit to the schedule

**Bilingual in Spanish is required**

Position Summary

We are seeking a highly organized, customer-focused Office & HR Coordinator to serve as the first point of contact for employees, candidates, and visitors while providing essential administrative support to Human Resources and Recruiting. This role is ideal for someone who enjoys creating a welcoming workplace, thrives in a fast-paced environment, and excels at balancing multiple priorities.

The Office & HR Coordinator plays a key role in ensuring smooth daily office operations while supporting hiring, onboarding, employee engagement, and HR administrative functions. Success in this position requires professionalism, attention to detail, strong communication skills, and a collaborative approach.

 

Key Responsibilities

Office Administration

• Serve as the primary front desk representative during business hours.
• Answer and direct incoming phone calls professionally and efficiently.
• Welcome and assist visitors, clients, vendors, and candidates.
• Receive, distribute, and process incoming and outgoing mail, packages, and shipping.
• Manage office supply inventory and place orders as needed.
• Maintain clean, organized common areas including conference rooms, training rooms, and kitchen spaces.
• Coordinate conference room schedules and assist with office meetings and events.

Human Resources & Recruiting Support

• Provide administrative support for Human Resources and Recruiting activities.
• Assist employees with HRIS navigation and direct HR-related questions to the appropriate team members.
• Coordinate interviews, candidate communications, and interview scheduling.
• Assist with new hire onboarding and pre-employment tasks.
• Conduct candidate pre-screening calls when needed.
• Support employee engagement initiatives and company events.
• Assist with special projects and departmental administrative needs.

Team & Workplace Support

• Foster a positive, professional, and inclusive workplace environment.
• Collaborate effectively with multiple departments across the organization.
• Participate in workplace safety initiatives, including Safety Committee and Emergency Response Team activities.
• Promote teamwork, integrity, accountability, and respectful communication.
• Follow all workplace safety policies and procedures.
• Perform other duties as assigned.

 

Qualifications

Required

• Bilingual in English and Spanish .
• Minimum of 3 years of administrative or office coordination experience .
• Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Excellent organizational skills with exceptional attention to detail.
• Outstanding customer service and interpersonal communication skills.
• Strong time management skills with the ability to prioritize multiple tasks.
• Ability to work independently while collaborating effectively with cross-functional teams.
• Strong problem-solving skills with the ability to remain calm and professional in challenging situations.
• Excellent verbal and written communication skills.
• Ability to maintain confidentiality and exercise sound judgment.
• Adaptable, dependable, and eager to contribute to a positive workplace culture.

Preferred

• Experience using HRIS systems.
• Experience supporting recruiting or human resources functions.
• Canva or other graphic design software experience is a plus.

Physical Requirements

• Ability to sit, stand, walk, bend, and lift office materials as needed.
• Ability to perform the essential functions of the position with or without reasonable accommodation.
