Senior Office Services Specialist

This is a hands-on position; candidate will be assisting with hospitality/event setups (food/beverage); coordinate incoming requests with onsite staff. Secondary responsibilities with office services related tasks such as printing/copying/scanning, sending out overnight packages, and regular mail. Personnel that have experience in the hospitality industry, previously worked at a law firm and customer service oriented. There is no extensive lifting, standing, or walking. No special equipment besides the Ricoh copiers.

Key Responsibilities

• Provide professional reception, customer service, and onsite support to executive-level end users.
• Assist with hospitality and event setups, including food, beverages, meeting and conference room arrangements.
• Operate high-volume Ricoh copiers, printers, scanners, fax machines, and finishing equipment.
• Perform copying, scanning, printing, binding, finishing, document formatting, file conversion, and OCR.
• Handle confidential and time-sensitive legal documents with a high level of accuracy and discretion.
• Perform daily copier quality inspections, clear paper jams, troubleshoot equipment, and coordinate technician service calls.
• Manage incoming and outgoing mail, packages, shipping and receiving, including postage and packing materials.
• Deliver completed jobs, mail, supplies, and materials to designated locations.
• Maintain daily meter readings, service logs, inventory records, billing logs, and management reports.
• Maintain well-stocked and organized copier, supply, and work areas.
• Perform filing, document archiving, scanning, file naming, FTP transfers, and electronic document management.
• Respond to customer questions regarding job status, deadlines, feasibility, and service requests.
• Support off-site document production projects and coordinate with external service providers.
• Perform light facility support, conference room setup, occupant moves, re-lamping, and occasional cleaning as assigned.
• Work independently to complete projects accurately and within tight deadlines.
• May require occasional overtime, including nights, weekends, or emergency response.

Required Qualifications

• High school diploma or GED.
• 12 years of related work experience; 2+ years in a legal environment highly preferred.
• Strong customer service, interpersonal, and verbal communication skills.
• Experience with printing, copying, scanning, mailroom, shipping/receiving, or office services.
• Ability to handle confidential information and time-sensitive projects.
• Ability to troubleshoot equipment and resolve customer service issues.
• Working knowledge of copier/office equipment and related software.
• Ability to work independently, prioritize tasks, and meet tight deadlines.
• Knowledge of shipping/receiving procedures and packing requirements.
