Service Center Operations Specialist

The Incoming Service Center Operations Specialist is responsible for the processing, imaging, routing, distribution, and retention of incoming and outgoing mail, correspondence, claims, applications, and other business-critical documents. Ensures the accurate and timely flow of information through mail services, document management, data capture, quality review, and workflow activities in accordance with established policies, regulatory requirements, and service standards. Supports Incoming Service Center operations by performing mailroom, imaging, records management, research, and production support activities while collaborating with internal business partners to deliver efficient and secure information processing.

Receive, sort, process, and distribute incoming mail, correspondence, packages, and special handling items, including USPS, courier, certified, and interoffice mail.

Manage internal mail operations and delivery routes, including package tracking and distribution systems.

Prepare, scan, image, and route paper and electronic documents through document management and workflow systems.

Validate, classify, index, and capture document data to ensure accurate routing, record management, and processing.

Monitor shared mailboxes and process electronic submissions in accordance with established procedures and service standards.

Research and resolve missing, incomplete, misrouted, or exception mail and document items.

Process claims attachments, appeals, enrollment forms, correspondence, and other supporting documentation.

Reconcile daily work volumes, production reports, and operational processing metrics.

Troubleshoot equipment, software, and postage-related issues and coordinate resolution as needed.

Maintain quality, productivity, and service standards while supporting process improvement initiatives and special projects.

1+ years of related work experience

High school diploma (or equivalent)

Bend and stoop. Perform motions of the wrists, hands, and/or fingers (i.e. typing, grasping, or gripping) at a computer station in an office environment. Occasionally lift and transfer up to 40 lbs. Frequent pushing and pulling of freight up to 500 lbs. on a dolly or cart, without mechanical aid. Reach and lift (up to 5 lbs) above shoulder.

Repetitive motion required.

Safely walk and stand for extended periods of time.

Ability to communicate clearly with varied internal contacts, actively listen to clarify needs, and ensure accurate and timely information exchange.

Ability to recognize patterns in recurring issues, gather relevant information, and collaborate with others to implement practical solutions.

Ability to organize and prioritize tasks across assignments, manage time effectively, and adjust to shifting workloads while maintaining accuracy.

Customer service and support experience.

Experience working with shipping vendors to establish service and resolve issues.

Highly detail oriented with a quality focus.

Data entry experience.

$21.50 - $22.35 - $26.82 Hourly

Pay is based on several factors which vary based on position, including skills, ability, and knowledge the selected individual is bringing to the specific job.
