Administrative Assistant

Position Summary:

We are seeking a highly organized, discreet, and proactive Administrative Assistant to provide executive-level support. This role is responsible for managing schedules, coordinating meetings, handling confidential communications, and ensuring smooth day-to-day administrative operations.

Key Responsibilities:

  • Schedule meetings/appointments and calendar management
  • Coordinate travel arrangements and assist with the logistics of events
  • Review/Type documents
  • Purchase office supplies, filing, and general office duties
  • Provide ad hoc support to team members and office staff as neededAssist in uploading content to the digital company newsletter
  • Maintain company database of clients, vendors, and Outlook contacts

Qualifications:

  • Associates degree preferred
  • 2+ years of admin assistant experience
  • Exceptional organizational and communication skills
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Ability to prioritize and manage multiple tasks in a fast-paced environment
  • Professional demeanor and ability to work with high-level stakeholders
  • Bilingual - English & Spanish
