The Warranty Superintendent plays a critical role in protecting that reputation by ensuring our clients feel heard, supported, and confident that Butler-Cohen stands behind its work. The Warranty Superintendent is responsible for managing and executing all warranty-related activities for complete Butler-Cohen projects. This role ensures post-turnover issues are addressed promptly, warranty repairs are coordinated effectively, and all concerns are resolved in accordance with contract requirements and Butler-Cohen quality standards. Serving as the primary bridge between Butler-Cohen, owners, subcontractors, and internal project teams, the Warranty Superintendent ensures strong client relationships through transparent communication, professional follow-through, and proactive collaboration . This position travels to projects at the end of the job to validate completion, support successful turnover, and manage warranty obligations through final closeout.

ESSENTIAL DUTIES/RESPONSIBILITIES

1) Warranty Claim Lifecycle Management Manage the full lifecycle of warranty claims, from initial intake through investigation, scheduling, completion, and close-out. Establish and maintain an organized intake process, ensuring that all issues are logged, prioritized, and tracked. Evaluate claims for warranty coverage and coordinate the appropriate next steps. 2) On-Site Investigation and Inspections Travel to job sites to investigate reported issues, validate conditions, and determine corrective actions. Conduct final project walkthrough support and end-of-project quality verification to confirm the work is complete. Perform follow-up inspections to verify repairs meet Butler-Cohen quality standards and original project specifications. 3) Subcontractor and Vendor Coordination Coordinate subcontractors and vendors to complete repairs in a timely, cost-effective manner. Hold trade partners accountable to warranties and contractual obligations. Facilitate meetings with subcontractors and key stakeholders to resolve warranty issues efficiently. Note: Butler-Cohen does not self-perform repair work; responsible subcontractors or qualified vendors perform repairs. 4) Client Relations and Communication Management Serve as the primary point of contact for owners and subcontractor teams regarding post-turnover concerns. Set expectations clearly and professionally, providing proactive updates and timelines. Maintain professionalism during sensitive warranty discussions, focusing on resolution, trust, and customer satisfaction. 5) Documentation, Reporting, and Close-Out Maintain accurate and detailed documentation of all warranty activity, including service logs, communications, photos, schedules, and outcomes. Track trends and recurring issues; perform root-cause assessments and share lessons learned with project teams to improve construction processes and reduce future defects. Provide regular warranty status reports to internal stakeholders, including project management and leadership. 6) Compliance and Safety Oversight Ensure that all repairs align with original drawings/specifications, applicable building codes, and Butler-Cohen quality standards. Verify subcontractor repair work is performed safely and in compliance with OSHA and Butler-Cohen safety policies. Identify potential hazards during site visits and ensure safe access and work procedures are followed. 7) Minor Adjustments (As Needed) From time to time, make minor adjustments when appropriate (example: adjusting a door or tightening simple hardware) to support immediate resolution. Any work performed by the Warranty Superintendent is limited in scope and does not replace trade subcontractor responsibilities.

JOB REQUIREMENTS

Education/Experience Required: Minimum 5-10 years of commercial construction field experience (or equivalent warranty/closeout experience). Strong understanding of commercial construction means and methods, sequencing, and subcontractor scopes. Knowledge of building systems and finish quality standards. Proven ability to manage multiple warranty issues simultaneously while maintaining clear priorities. Strong documentation and reporting skills; proficient in Microsoft Office and warranty tracking tools (Procore or similar preferred). Excellent communication and relationship management skills with owners, vendors, and internal teams. Working knowledge of OSHA and jobsite safety expectations Preferred Qualifications Experience as a Superintendent, Assistant Superintendent, or Quality/Warranty Manager on commercial projects. Familiarity with turnover documentation, O&M manuals, and close-out processes. Experience supporting root-cause analysis and continuous improvement initiatives. Skills/Abilities Required: Understanding of how commercial construction projects are typically bought out, including scope delineation and subcontractor procurement strategy. Ability to participate in pull planning sessions and contribute to collaborative scheduling efforts. Ability to draft, submit, and clearly communicate comprehensive RFIs (Requests for Information) to design teams and stakeholders. Developing understanding of construction sequencing and its impact on project milestones, along with the ability to contribute to short-term look-ahead planning. Ability to participate in and contribute meaningfully to internal and subcontractor meetings. Driven, inquisitive, and solutions-oriented mindset with a desire to continuously learn and improve. Physical and Working Conditions: This role is performed in a hybrid indoor/outdoor setting on an active commercial construction site and requires a high level of physical mobility and situational awareness. Physical Demands: Must be able to walk the site multiple times per day, including uneven surfaces such as sand, gravel, or compacted dirt. Must be able to climb stairs and ladders to access all areas of the jobsite, including roofs, mezzanines, and spaces above ceilings. Frequent bending, kneeling, stooping, squatting, and standing for extended periods are required to check framing layouts, concrete forms, and detailed fieldwork. Must be capable of lifting, carrying, pushing, or pulling objects weighing up to 50 pounds unassisted. Must be able to work on their feet for most of the workday without the need for extended rest periods. Must be able to visually inspect small details and work elements at close range and at a distance. Must be able to hear and understand verbal instructions and communicate clearly across noisy jobsite environments. Must be physically capable of coordinating in the field with subcontractors, vendors, and inspectors throughout the day. Work Authorization / Driver Requirements Valid driver's license and acceptable driving record required. Must be able to travel to multiple project locations as needed. Working Conditions: Work will occur in all weather conditions, including extreme heat, cold, rain, and wind. Must be comfortable working independently without direct supervision during afternoons, early mornings, or weekends as project needs require. May be exposed to high noise levels, dust, and other airborne particles; appropriate PPE must be worn.
