You will play a pivotal role in our organization, ensuring compliance with financial policies, timely payments, and accurate employee payroll and benefits administration.

The Role

The Accounting Assistant – Accounts Payable & Payroll is responsible for managing vendor payments, maintaining accurate accounts payable records, and supporting full-cycle payroll processing.

Accounts Payable

• Create and maintain vendor records
• Process and enter vendor invoices
• Prepare and distribute weekly check runs, including mailing payments
• Process manual payments and corporate credit card transactions
• Maintain and organize vendor files
• Administer and process year-end 1099 forms
• Maintain independent contractor records and compliance documentation
• Track and maintain sales and use tax records

Payroll Administration

• Process biweekly payroll
• Review and verify employee time reporting and payroll data
• Manage employee lifecycle processes, including new hires, rehires, and terminations
• Create and maintain employee personnel files
• Conduct background checks and ensure compliance with hiring requirements
• Administer employee benefits, including medical, dental, vision, life insurance, COBRA, and 401(k) plans
• Process biweekly 401(k) allocations and employee data transmissions
• Manage year-end payroll processes, including W-2 preparation and distribution

To thrive in this role, you will need:

• Associate or bachelor’s degree in accounting, finance, or related field preferred
• 2+ years of experience in accounts payable and/or payroll processing
• Knowledge of payroll regulations, tax reporting, and compliance requirements
• Experience with accounting and payroll systems preferred. Paylocity a plus!
• Proficiency in Microsoft Office, especially Excel
• Strong attention to detail, organization, and time management skills
• Ability to handle confidential information with discretion
• Ability to work carefully within established processes and documentation standards
• Team player, shift gears easily with high level of self-accountability
