This role serves as both an accounting leader and a systems owner, ensuring the accuracy, integrity, and efficiency of automated accounting processes while maintaining full compliance with GAAP, tax, and regulatory requirements. This position manages multiple entities, including corporate books, family trusts, and a portfolio of LLCs, requiring exceptional organizational skills, discretion, and the ability to navigate complex, multi-entity accounting structures.Salary Range: 130K-160KNo third-party recruiters, please.Essential Duties & ResponsibilitiesAccounting & Financial ReportingOversee daily accounting operations including general ledger, accounts payable, accounts receivable, and bank reconciliation across multiple entities (corporate, family trusts, and LLCs)Manage month-end and year-end close processesPrepare and review monthly and annual financial statements for all entitiesPerform variance analysis and provide meaningful financial insights to senior managementProcess journal entries, adjustment entries, AP/AR accruals, and reclassifications as needed for month-end and year-end closePayroll & Benefits AccountingReview biweekly payroll registers and post payroll journal entries and tax entries to the GL for all entitiesReconcile payroll liability accounts monthly and review payroll tax depositsReview quarterly payroll tax returns (941, state) and coordinate annual filingsPerform monthly benefits cost allocations for 401(k), health insurance, dental, vision, life, and workers' compensationManage benefit cost allocations across entitiesReview vacation accrual report and cash flow forecast on a monthly basisTax Compliance & CoordinationCoordinate the preparation of corporate, LLC, trust, and individual income tax returnsServe as primary contact with external CPA firm, gathering and providing all required financial information to support tax filingsCalculate and file quarterly estimated tax payments for all entitiesPrepare and file property tax returns (Form 571-L) for multiple locationsManage tax extension filings and respond to tax notices from IRS, state, and local authoritiesFile annual diesel fuel tax refund claims (Federal and California), unclaimed property reports, and business license renewalsComplete tax organizers for family members and related trusts as requiredAudit Support & Internal ControlsServe as primary point of contact for annual external 401k auditCoordinate staff to gather all required support documentation and respond to auditor inquiriesCoordinate annual 401(k) audit including payroll data reconciliation with census dataManage 401(k) compliance testing, mandatory distributions, and forfeiture/unallocated plan asset account reviewsTeam Leadership & Staff DevelopmentSupervise, mentor, and develop accounting staffSet clear performance expectations and assign responsibilities based on expertise and workloadReview and approve work prepared by staff, including system-generated outputsProvide training on accounting systems, automation tools, and evolving best practicesCollaborate cross-functionally with Operations, HR, and IT teams
