Ahavath Achim Synagogue (AA) is one of Atlanta's oldest and most vibrant Jewish communities, serving hundreds of member families across generations. As a Conservative congregation rooted in tradition and open to all, AA offers a full range of religious, educational, cultural, and social programming. Our professional staff works alongside dedicated lay leadership to serve our members and the broader Atlanta Jewish community with excellence and care.
Position Summary
The Executive Assistant (EA) to the Executive Director (ED) is a critical, high-trust role at Ahavath Achim. This person serves as the right hand to the ED, managing the day-to-day operations of the executive office and ensuring that the ED can focus on leadership, strategy, and relationship-building. The ideal candidate is organized, proactive, discreet, and thrives in a dynamic, mission-driven environment. This role requires someone who takes initiative, communicates well, and can juggle competing priorities with professionalism and warmth.
Key Responsibilities
Executive Support
· Manage the ED's calendar, scheduling meetings, appointments, and work with the Event Coordinator of the synagogue events with attention to priorities and conflicts.
· Prepare correspondence, reports, presentations, and internal communications on behalf of the ED.
· Screen and triage emails and phone calls, drafting responses or routing to appropriate staff as needed.
· Coordinate logistics for meetings, including agendas, materials, room setup, and follow-up action items.
· Handle confidential and sensitive information with the highest level of discretion.
Board and Governance Support
· Support Board of Directors operations, including scheduling, preparation of meeting materials, minutes, and follow-up communications.
· Maintain board records, contact lists, and governance documents.
· Coordinate logistics for committee meetings and special leadership sessions.
· Serve as liaison between the ED and lay leadership.
Operations and Project Coordination
· Track and manage multiple concurrent projects and deadlines on behalf of the ED.
· Coordinate event logistics and special projects as assigned, working cross-functionally with other departments.
· Maintain organized filing systems (digital and physical) for the executive office.
· Process expense reports and assist with vendor communications and office management tasks.
· Support special events and synagogue functions as needed, including occasional evenings and weekends.
· Manage Office Equipment
· Cemetery plot coordination
· Assist Finance department when necessary
Event & Program Support
· Support High Holiday planning and other major programming efforts in collaboration with the broader staff team.
· Assist with event ticketing, RSVP tracking, and member communications as needed.
Community Relations
· Greet members, clergy, and visitors with warmth and professionalism, serving as a welcoming first point of contact for the executive office.
· Respond promptly to member inquiries by phone, email, and in person, providing assistance or routing to the appropriate staff member.
· Build trusted relationships across the congregation and with lay leadership.
· Handle sensitive member matters and pastoral communications with empathy and strict confidentiality.
Qualifications
Required
· 3+ years of experience in an executive assistant, administrative, or operations support role.
· Strong written and verbal communication skills; ability to draft correspondence independently.
· Exceptional organizational skills with meticulous attention to detail.
· Strong calendar management skills.
· Proficiency in Microsoft Office 365 (Outlook, Word, Excel, Teams) and familiarity with digital collaboration and CRM tools.
· Ability to exercise sound judgment, maintain confidentiality, and manage sensitive matters with discretion.
· High emotional intelligence and the ability to work effectively with diverse stakeholders.
· Comfortable working in a fast-paced, mission-driven environment.
Preferred
· Experience in a nonprofit, religious, or community organization.
· Familiarity with Jewish culture, traditions, and the Jewish holiday calendar.
· Experience supporting C-suite executives or senior nonprofit leadership.
· Experience with board governance and meeting coordination.
