This position provides support across the full lifecycle of the client’s leased and owned assets across the nation, including space planning, test fits, space alterations, consolidations, decommissions, design, construction, closeout, furniture project management, move coordination, move management packages, and related analytical services. The successful candidate will manage the organization and installation of furniture and space alteration projects of varying sizes and complexity while serving as a highly organized, hands-on, and customer-service-oriented project manager who is comfortable coordinating with general contractors in the field and in the office. \nThis position is onsite at a government client facility and requires regular coordination with client personnel, architects, engineers, AV/IT teams, DOT subject matter experts, general contractors, GSA project and building management staff, GSA and Lessor stakeholders, regional stakeholders, vendors, and other project stakeholders. The selected individual will contribute to workplace innovation, project delivery, and accurate space documentation while helping maintain compliance with project scope, budget, schedule, safety, accessibility, physical security, access control, and client standards. \nInterview Process \nIf you are selected for an interview, Aleto will contact you by email to arrange an interview via an online platform, such as Microsoft Teams. After all candidates are interviewed, Aleto will notify you of your application status. \nIf an offer is extended, the start date is determined based on factors such as availability and the amount of time it takes for the government's background clearance process (depending on the client). \nVisit our website at to learn more about Aleto, Inc. \nFacilities Project Manager – Essential Job Duties \nThe Facilities Project Manager will assist with planning, development, execution, and closeout of interior projects that support the client’s brand, workplace innovation strategy, and asset lifecycle requirements. Responsibilities include: \n\n \n Assist with project scheduling, estimating, budgeting, scope development, design intent drawings, submittal reviews, requests for information, change order reviews, construction management, documentation transfer, and turnover to building operations and maintenance staff. \n\n \n Create space plans and test fits to support space alterations, consolidations, decommissions, and related planning requirements, and prepare move management packages. \n\n \n Ensure contractor deliverables meet applicable Section 508 accessibility standards. \n\n \n Coordinate with GSA and regional stakeholders on real estate lease actions, and process and track Reimbursable Work Authorizations (RWAs) in GSA systems, including eRETA. \n\n \n Coordinate physical security and access control systems requirements with DOT subject matter experts, regional stakeholders, and GSA/Lessor stakeholders, as applicable. \n\n \n Coordinate and assist with moves ranging from individual relocations to group moves, including furniture, IT, and move-add-change project requirements. \n\n \n Coordinate with internal and external service providers and serve as a point of contact for teams across functional areas. \n\n \n Perform quality control throughout each project to maintain applicable standards and ensure successful delivery. \n\n \n Coordinate with client personnel, vendors, and contractors to ensure accurate space documentation and data that conform to client design and software standards. \n\n \n Maintain thorough records and provide periodic reports on project status, risks, progress, and related issues. \n\n \n Collaborate with on-site contract staff, including project managers, furniture specialists, writer/communications specialists, and senior financial analysts on high-visibility projects and initiatives. \n\n \n Prepare and maintain as-built drawings to track portfolio space and verify usable square feet and rentable square feet according to client space standards. \n\n \n Update record drawings, XRef files, client space drawings, and drawing templates using AutoCAD, Revit, IWMS, or other appropriate software. \n\n \n Perform regularly scheduled site walks to confirm project site conditions and progress. \n\n \n Conduct meetings with clients to review documents, drawings, furniture specifications, space plans, and schedules. \n\n \n Participate in project coordination meetings with architects, engineers, AV/IT teams, general contractors, GSA project and building management staff, and other stakeholders. \n\n \n Review project documents for compliance with plan, budget, schedule, and other requirements, and raise concerns or flag issues to agency staff. \n\n \n Perform additional duties as assigned based on project and operational needs. \n\nQualifications, Capabilities, and Software Knowledge \nTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. \nQualifications/Education/Experience: \n\n Bachelor’s degree in Architecture, Engineering, Interior Design, Construction Management, Project Management, Facility Management, or an equivalent discipline; studying for or attaining a master’s degree in one of these disciplines is a plus. \n Minimum years of experience: 2-5 years of facilities project management. \n \n Must be able to read, interpret, and analyze construction documents \n \n Experience with GSA facilities coordination, GSA OASIS, and the GSA eRETA system for tracking RWAs preferred. \n\n \n Experience serving as a facilities-to-IT liaison. \n\n \n Strong written and oral communication skills, and proficient customer service skills. \n\n \n Ability to conduct on-site and virtual project inspections, space decommissioning, and furniture installation oversight across headquarters and regional sites. \n\n \n Ability to coordinate real estate lease actions, RWAs, space alterations, consolidations, decommissions, physical security requirements, access control requirements, and move management activities with federal and regional stakeholders. \n\nTechnological Skills: \n\n \n Expert knowledge of AutoCAD, with the ability to efficiently use and manipulate drawings. \n\n \n Experience with Revit, MS Project, Primavera or equivalent scheduling tools, ePM software such as Kahua or equivalent, and IWMS software; FM: Systems experience is a plus. \n\n \n Proficiency in Microsoft Office and Google Workspace, with the ability to learn new planning, drawing, design, and specification software. \n\nRequired Knowledge and Skills: \n\n \n Excellent written and verbal communication skills, including the ability to present effectively to clients and executive personnel. \n\n \n Ability to write clearly and informatively, edit work for spelling and grammar, and vary writing styles to meet audience needs. \n\n \n Ability to perform core project management tasks, including scope, risk, procurement, scheduling, budgeting, and customer relationship management. \n\n \n Highly developed interpersonal, customer service, collaboration, organization, prioritization, multitasking, and time management skills. \n\n \n Professional demeanor, strong work ethic, discretion, resourcefulness, sound judgment, and ability to maintain confidentiality. \n\n \n Ability to work independently and collaboratively in a fast-paced environment while adapting to changing priorities and meeting assigned deadlines. \n\n \n Proven problem-solving, analytical, organizational, risk management, and strategic data interpretation skills. \n\n \n Demonstrated ability to make important decisions under pressure and develop and maintain a positive team environment. \n\n \n Ability to lead efforts independently, prioritize work effectively, and meet strict deadlines. \n\n \n Strong interpersonal skills with the ability to coordinate with multiple stakeholders, including client staff, ARLOs, POCs, CORs, and contractors. \n\nOther: \n\n \n Maintain the highest level of integrity when managing confidential information. \n\n \n Performance standards include: \n\n \n Accurate and timely database entries, reporting, and mail processing. \n\n \n Full compliance with safety protocols and document retention requirements. \n\n \n Internal/external requests are completed and addressed in accordance with stated deadlines. \n\n \n Maintain the highest level of integrity when managing confidential information. \n\n \n Aleto’s Employee Expectations/Responsibilities \n\n \n Comply with all Aleto processes, standards, and guidelines, including using the employee and intranet platforms to stay up to date on company news and events, submit expense reports, provide monthly progress reports, and complete other required activities. \n\n \n Participate in recurring one-on-one and performance development meetings with your Aleto team lead to discuss current job tasks, promote open dialogue and feedback, recognize and celebrate wins, and review positive and purposeful approaches for meeting work-related and professional development goals. \n\n \n Attend team meetings, tri-annual company All-Hands Meetings, and other company-sponsored team-building events to foster and support Aleto's core values, vision, and culture. \n\nWhat We Offer: Benefits and Perks \nAt Aleto, we recognize that our employees are our most valuable assets. We are proud to offer the following employee programs and benefits to enhance employee well-being and the total rewards package while practicing our core value of Stewardship. \nPay Cycle \nPaydays are on the 10th and 24th of the month. \n\n \n Payment is on a two-week arrears basis. For example, time worked from the 1st through the 15th is paid on the 24th of that month; time worked from the 16th through the last day of the month is paid on the 10th of the following month. \n\nBelow is a list of comprehensive benefits offered to employees who work 30 hours or more each week: \n\n \n Medical, Vision, and Dental Insurance: \n\nAleto employees are offered single, single-plus-one-dependent, or family medical, vision, and dental insurance plans. \nAleto offers two medical plan options to California employees. Aleto contributes $400 to the monthly employee premium. \nAleto contributes 75% of the employee premium for the vision and dental plans. \n\n \n Pre-Tax Savings Accounts \n\nEmployees may enroll in an HSA or FSA, depending on their elected medical insurance coverage. \n\n \n Disability Insurance: \n\nCompany-paid short-term and long-term disability insurance. \n\n \n Life Insurance: \n\nCompany-paid life insurance coverage. \n\n \n Paid Time Off: \n\nPaid time off includes eleven federal holidays. Full-time employees accrue PTO at the rate of 5 hours per pay period for a total of three weeks per year. In addition, employees are provided with a separate bank of 40 hours of paid sick leave per year. \n\n \n Retirement Plan: \n\nAleto offers full-time employees a 401(k) qualified retirement plan. \nEnvironment and Physical Conditions \nWhile performing the duties of this job, the employee is required to have ambulatory skills sufficient to visit other locations, including occasional travel to regional locations to perform on-site coordination, inspect project work, oversee furniture installations, manage space moves and decommissioning, and coordinate with local building management; remain in a stationary position at least 50% of the time; move inside and around an office; position themself to access items located in high or low areas; and transport items weighing up to 20 pounds across the office. The role requires constant operation of a computer and other office productivity machinery and the ability to observe details at close range, typically within a few feet of the observer. The employee interacts frequently with other workers, vendors, and clients, communicates information and ideas so others will understand, and must be able to exchange accurate information in these situations. The position consistently requires work to be completed in an office environment with artificial light and air. \nTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
