Proposal & Marketing Coordinator

LHH is currently recruiting for a Proposal & Marketing Coordinator for a permanent opportunity with our client in the Dallas area. This role will support proposal development, marketing initiatives, and business development efforts for a growing AEC firm. The ideal candidate will have hands‑on AEC industry experience, strong Adobe InDesign skills, and the ability to manage multiple deadlines in a fast-paced, collaborative environment. This is a hybrid opportunity at our client’s office in the Dallas area. Responsibilities: Coordinate and develop proposals, statements of qualifications, presentations, and other pursuit materials from kickoff through final submission. Partner with project managers, technical teams, and leadership to gather content, confirm requirements, and ensure proposal materials are accurate, compliant, and compelling. Create, format, and edit proposal documents using Adobe InDesign while maintaining brand consistency, strong layout design, and visual organization. Review RFP/RFQ requirements, build proposal schedules, track deliverables, and help keep contributors aligned with deadlines. Write, edit, and proofread proposal content, resumes, project descriptions, case studies, and boilerplate materials. Maintain and update marketing assets, including project sheets, employee resumes, templates, proposal content libraries, and graphics. Support interview preparation, presentations, leave‑behinds, and other business development materials as needed. Assist with social media management, including content planning, post creation, scheduling, and coordination with the firm’s broader marketing strategy. Support additional marketing initiatives such as email campaigns, website updates, event coordination, award submissions, and internal communications. Collaborate with internal stakeholders to ensure all marketing and proposal materials are polished, on brand, and delivered on time. Qualifications: Previous proposal coordination or marketing experience within the AEC industry is required. Bachelor’s degree in Marketing, Communications, Journalism, English, Graphic Design, Business, or a related field preferred. Proficiency in Adobe InDesign is required, with the ability to create polished, visually organized proposal and marketing materials. Ability to manage multiple proposals and marketing projects simultaneously while staying organized and deadline‑driven. Strong attention to detail and ability to review documents for compliance, accuracy, formatting, and brand consistency. Experience working cross‑functionally with technical teams, project managers, business development leaders, and marketing stakeholders.
