Lead Medical Assistant

This working lead position supports patient visits while coordinating the flow of clinical support activities throughout the day. The individual balances direct care assignments with team guidance, helping the practice stay organized, responsive, and prepared for changing patient and provider needs. The Lead Medical Assistant is a resource for staff questions, reinforces agreed-upon procedures, and brings time-sensitive concerns to the appropriate clinical or operational leader. Success in this role requires sound judgment, steady communication, and a willingness to work alongside the team.

PRIMARY ACCOUNTABILITIES

Daily Coordination and Staff Guidance Build the daily support plan by reviewing appointment complexity, provider templates, staffing levels, and room availability. Redistribute assignments as conditions change so patient care continues with minimal interruption. Serve as the first point of contact for routine clinical-support questions and involve leadership when an issue exceeds delegated authority. Coach team members on established workflows, documentation habits, service standards, and safe work practices. Assist with orientation and competency follow-up for newly hired or cross-trained staff. Share operational updates with providers and support personnel and confirm that action items reach the correct owner. Notice patterns that create rework, delays, or patient inconvenience and suggest workable solutions. Demonstrate dependable, respectful, and patient-focused conduct during every shift. Visit Support and Clinical Tasks Prepare patients for their appointments by confirming identifiers, gathering relevant information, and documenting the reason for the visit. Obtain and record measurements, medication details, allergies, and other information required for the encounter. Set up rooms and supplies according to the scheduled service and the preferences of the treating provider. Assist licensed clinicians with examinations and office-based procedures within training and authorized scope. Carry out approved delegated tasks, such as injections, dressing changes, diagnostic testing, or specimen handling, only when properly qualified. Apply accurate labeling, transport, storage, and documentation procedures to laboratory materials. Enter test findings and clinical details in the electronic record without unnecessary delay. Relay only provider-approved education, preparation steps, and follow-up instructions to patients. Observe for unexpected findings or changes and promptly seek assistance from an appropriate licensed professional. Complete the clinical portion of the visit and leave the room ready for the next patient. Communication and Practice Support Review phone calls, portal messages, and in-person requests; document and route each item based on urgency and subject. Coordinate referrals, outside testing, prior approvals, and record requests as assigned. Track pending tasks and help close communication loops with patients, providers, and outside services. Maintain complete and timely electronic records that reflect the work performed. Prepare routine forms and supporting materials for clinical and front-office processes. Forward medication renewal requests through the approved review pathway without independently authorizing treatment. Assist with charge entry, coding support, or records functions when trained and directed. Protect confidential information in verbal, written, and electronic communications. Readiness, Safety, and Quality Maintain clinical spaces in a clean, orderly, and service-ready condition throughout the workday. Use approved methods for cleaning, disinfection, sterilization, and equipment care. Follow current safeguards for infection prevention, exposure response, sharps, regulated waste, and specimen handling. Check stock levels, storage conditions, lot or expiration information, and emergency supplies according to assigned schedules. Complete temperature, equipment, medication, and quality logs accurately when responsible for them. Remove damaged or unreliable equipment from service and report the concern through the designated process. Help the practice demonstrate consistent procedures during quality checks, inspections, and operational reviews. Report safety events, near misses, documentation variances, and privacy concerns without delay.

REQUIREMENTS

Formal Medical Assistant training from a recognized program. Certification or registration as a Medical Assistant is preferred unless local requirements or organizational policy make it mandatory. Hands-on experience supporting patients and providers in an outpatient, physician-office, or comparable setting. Previous responsibility for training peers, coordinating assignments, or acting as a shift resource is desirable. Familiarity with medical vocabulary, routine ambulatory procedures, electronic health records, and confidentiality standards. Ability to organize competing priorities, communicate with tact, and produce accurate work in a busy environment. Current CPR or Basic Life Support credential when required for assigned duties.

WORKING EXPECTATIONS

Move between clinical-support functions when qualified and needed to maintain service coverage. Attend required learning activities and adopt revised procedures, systems, and equipment practices. Perform other related assignments that reasonably support patient care and practice operations.
