Service Coordinator (Customer Support & Billing)

Description ABOUT THIS ROLE When disaster strikes, we help homeowners and businesses recover from water, fire, and storm damage. As a Restoration Office Coordinator, you are the hub of our operation—handling customer calls, coordinating job schedules, and supporting invoicing and job costing to keep projects moving and cash flow healthy. This is a fast-paced role that combines customer service , coordination , and bookkeeping . WHY OUR TEAM NEEDS YOU We need a detail-oriented, organized professional who enjoys balancing customer interaction with financial accuracy and operational coordination. This role is ideal for someone who is comfortable on the phone, can manage multiple priorities, and takes ownership of both front-office communication and back-office support. WHAT YOU'LL DO Customer Communication & Dispatch (30%) Answer incoming calls and assist customers experiencing property damage Collect job details and set up new claims Schedule inspections, mitigation, and follow-up work Keep customers informed on job status and next steps Bookkeeping & Job Costing (30%) Track job costs (labor, materials, subcontractors) Create and send invoices to customers and insurance carriers Reconcile vendor bills and job expenses Assist with AR follow-up on outstanding invoices Admin & Job File Management (20%) Maintain complete and organized job files (RMS, QuickBooks, etc.) Ensure documentation is accurate and up to date Support project managers with job documentation and billing Requirements WHAT WE'RE LOOKING FOR Strong communication skills (phone and email) Highly organized and detail-oriented Comfortable managing multiple tasks at once Experience with QuickBooks or bookkeeping preferred Ability to stay calm and professional in urgent situations PREFERRED EXPERIENCE Administrative, dispatch, or coordination experience Construction, restoration, or insurance billing experience Familiarity with job costing or project-based work WHY JOIN PAUL DAVIS RESTORATION Competitive pay: $45,000–55,000 Paid time off and benefits options Performance bonuses Growth opportunities as the business expands Team-focused culture with real impact in the community Schedule Days & Times schedule: Monday-Friday 8:00am to 4:30pm Work Location: 4900 N Elston Ave, Chicago, IL 60630 Paul Davis Restoration is an Equal Opportunity Employer and proudly supports hiring Veterans. #J-18808-Ljbffr Socket.dev
