Job Overview


The Customer Service Representative is the first and last voice our clients hear at Carson Valley Veterinary Hospital. This team member welcomes clients and their pets, keeps our phones, schedule, and front desk running smoothly, and helps every client leave feeling heard. We are a fast-paced general practice, urgent care, and specialty referral hospital with digital x-ray, CT, ultrasound, endoscopy, laser, electrocardiography, a full in-house laboratory and pharmacy, and multiple surgical suites.

Key Responsibilities

Client interaction: Greet and check in clients warmly and accurately. Answer phones, client messages, and online booking requests promptly. Calm frustrated or worried clients, and bring in a supervisor early when a situation needs it.


Scheduling and records: Book appointments accurately against real availability, doctor preference, and appointment type. Screen calls for service needs and identify urgent cases. Keep client and patient records current in EZyVet, including contact information, patient details, and reminders.


Payments: Check pets in and out of appointments, procedures, and surgery. Collect payments and deposits accurately.


Team coordination: Pass schedule changes, urgent add-ons, and doctor requests to the clinical team right away. Support our urgent care flow, including weekends, without creating scheduling conflicts. Handle incoming and outgoing mail and email, and keep the reception area clean and welcoming.

Requirements

• Availability for four 10-hour shifts per week, including weekends
• At least 6 months of customer service, reception, or related experience
• Ability to multitask and learn quickly in a high-volume environment
• Clear, kind communication with clients and teammates, in person and in writing
• Comfort around animals
• Reliable transportation and consistent attendance
• Ability to pass a background check
• Resume required

Preferred: Veterinary or medical front-desk experience, familiarity with practice management software, and experience handling payments.

Physical Demands


Candidates should be comfortable sitting and standing for long periods, working at a computer and phone, and working around animals and animal odors.

• Base hourly rate of $16-$20
