Shipping & Receiving Coordinator

Job Description Job Description The shipping and receiving coordinator plays a critical role in ensuring the smooth, accurate and cost-effective movement of materials, components, and finished products into and out of the facility. This position is responsible for coordinating daily shipping and receiving operations, managing freight execution, and serving as primary point of contact between internal teams, supplies, carriers and customers. This is a hands-on role for a detail-oriented logistics professional who takes ownership of the process, proactively resolves issues, and thrives in a fast-paced manufacturing environment. The ideal candidate brings a strong understanding of shipping operations, transportation coordination, and documentation - along with the confidence to make informed decisions that support productivity, quality and customer satisfaction. Reports to: Logistics Manager Major Areas of Responsibility: * Coordinate all inbound and outbound shipments to ensure on-time delivery, accuracy, and compliance with company policies and transportation regulations. * Compare approved freight carriers and shipping methods; select the most effective solutions based on cost, transit time, and logistical requirements. * Set up freight using company-approved or customer-specified carriers, working directly with customers or carriers as needed. * Notify customers of shipments and provide tracking information upon dispatch. * Receive all incoming shipments. Route and deliver materials and packages to the purchasing department in a timely manner. * In conjunction with purchasing: identify, document and resolve discrepancies related to damage, shortages, or incorrect shipments; communicate with vendors and carriers to drive resolution. * Operate forklifts, pallet jacks, hand trucks and other material-handling equipment safely and efficiently. * Prepare and maintain shipping documentation, including BOLs, packing lists, certificates of origin, and international shipping paperwork. * Process domestic and international shipments in compliance with company and regulatory requirements. * Ship small packages via UPS WorldShip and maintain accurate shipment records in internal systems. * Serve as key point of contact for shipping-related inquiries from internal teams, suppliers, freight providers and customers. * Proactively communicate delays, exceptions or issues and work collaboratively to resolve them. * Handle shipping related issues with a customer-service mindset and solutions-oriented approach. * Maintain adequate inventory of shipping supplies and recommend replenishment as needed. * Ensure shipping and receiving areas are clean, organized, and compliant with safety standards. * Report defective materials, equipment issues, or unsafe conditions to manager promptly. * Perform local pickups and deliveries using a company vehicle when required. Required Skills * High school diploma or equivalent. * Minimum of 3-5 years of experience in shipping and receiving in a manufacturing or industrial environment. * Experience operating forklifts and other material-handling equipment. * Proficient with shipping systems, data entry and basic computer applications * Strong organizational skills with the ability to manage multiple priorities. * Clear verbal and written communication skills * Ability to read and write English, follow verbal instructions and perform basic math. * Valid driver's license, MO class E and good driving record Preferred Skills * Experience coordinating freight and working with common carriers and LTL shipments. * Exposure to international shipping documentation and export requirements. * Prior responsibility for resolving freights claims, damages, or shipment discrepancies. * UPS dangerous goods training Physical Demands * Regularly required to stand, walk, reach, bend, stoop, kneel and lift. * Ability to lift 50 pounds independently. * Ability to operate material-handling equipment safely. * Vision requirements include close vision and the ability to read shipping labels and documentation. Work Environment * Manufacturing and warehouse environment with exposure to moving mechanical equipment, temperature variations, dust, fumes, and moderate to loud noise levels. * Use of required person protective equipment and adherence to safety protocols is mandatory.
