Special Projects Coordinator

ABOUT THIS ROLE: Under general direction, provides advanced administrative support for the Division of Community Health Services (CHS) through office organization, records maintenance, reception, scheduling, event oversight, process improvement, training, and general support with other tasks & responsibilities to support the CHS Administration team, as well as CHS support staff, Program Managers, Operations Director, and Chief Executive. Independently plan, prioritize, and organize a diversified workload. Supervise assigned administrative support employees. Oversee, trains and coaches assigned staff, providing leadership and overall direction. Develops goals and priorities, and assigns tasks and projects. Develops staff skills and training plans. Assists with implementing corrective actions and provides feedback for performance evaluations for staff. Serves as backup to team support staff, and as needed can be placed on temporary assignment to other CHS departments to ensure adequate office coverage. Performs advanced administration and support work requiring detailed field-specific knowledge of relevant policies and workflows. Assists department with process and project analysis. Collaborates with cross-functional teams from across ANTHC. Prepare succinct notes. Manages special projects as assigned. Assist with the development of reports, presentations, and training materials. Completes, submits and tracks company forms such as travel/expense reports, check requests, company credit cards, purchase requests, and personnel action documents. In accordance with established policies and procedures, make purchases, reconcile and process expense reports while maintaining high level of fiscal integrity and professionalism. Evaluate, develop, and maintain internal office procedures in order to best support the department to ensure consistent workflow. Identifies opportunities for process improvement and operational efficiency to drive positive change. Attend and coordinate meetings as requested. Request information from and provide information to other departments and outside sources. Communicates information to administrative team and CHS departments. Coordinates events of varied scale ranging from team meetings to division gatherings. Assist with planning and coordinating employee engagement activities. Position Summary Under limited supervision, coordinates special projects for assigned department. Researches scope of project, coordinates resources, and evaluates results. Position Responsibilities Implements and monitors project budget and facilitates project development, implementation and evaluation. Prepares and processes special and recurring reports and administrative records. Acts as a resource to internal and external clients, answering questions and reporting findings. Coordinates implementation and improvement plans for assigned projects and systems within the assigned department at the Alaska Native Tribal Health Consortium. Coordinates and organizes multiple projects related to assessment of need, improving the delivery of quality health services and/or extended care within the Alaska Tribal Health System (ATHS). Assists with quantitative and qualitative data collection techniques for special and ongoing projects. Develops, revises and reports upon project goals and priorities, and follows up with internal and external customers to ensure tasks are completed. Provides support and guidance in identifying project needs and implements plans to improve project efficiency. Works with various ATHS programs to coordinate their resolutions. Establishes and maintains effective working relations with local, state, federal and tribal agencies to facilitate improvements in project planning and resource utilization. Works independently within established policies and procedures. Researches current issues in community based participatory methods, health planning and health systems improvements. Assures effective communication of issues and strategies between the assigned department and other customers, both internal and external. Coordinates the collection, analysis and reporting of procedural data and reports findings and outcomes as requested. Performs other duties as assigned. KNOWLEDGE And SKILLS Knowledge of principles related to quality management and quality improvement. Knowledge of process improvement methods and measures. Knowledge of state, federal, and tribal health care programs. Knowledge of Alaskan Culture. Skill in working independently. Skill in assessing and prioritizing multiple tasks, projects and demands. Skill in analyzing financial issues and making logical recommendations based on findings. Skill in establishing and maintaining effective working relations with co-workers; and local, state, federal and tribal agencies. Skill in operating a personal computer utilizing a variety of software applications.

MINIMUM EDUCATION QUALIFICATION

Bachelor’s degree in field related to organizational assignment. Progressively responsible professional work-related experience, education, or training may be substituted on a year-for-year basis for college education. Minimum Experience Qualification Non-supervisory – Three (3) years of health care administration, program planning or health care experience.
