Administrative Assistant

Beachway Therapy Center is a duly licensed and accredited luxury treatment facility providing substance abuse and mental health services across the full continuum of care, from Detox through Outpatient services.

Position Summary

We are seeking a reliable, organized, and detail-oriented Administrative Assistant to provide general office and administrative support. This position will assist management and the accounting team with day-to-day administrative tasks, data entry, filing, vendor coordination, and other office responsibilities.

The ideal candidate is comfortable with computers, organized, dependable, and able to manage multiple tasks.

Responsibilities

• Provide general administrative support to management and the accounting team
• Answer and make phone calls and respond to emails
• Perform copying, scanning, filing, and document organization
• Complete basic data entry, including entries in QuickBooks
• Assist with organizing invoices, receipts, and other records
• Enter accounts payable invoices
• Help coordinate maintenance appointments and vendor service calls
• Follow up with vendors and contractors as needed
• Track open maintenance requests and completed work
• Assist with basic Excel spreadsheets and reports
• Maintain organized electronic and paper files
• Complete other general office and administrative tasks as assigned

Qualifications

• Previous administrative or office experience preferred
• Comfortable using computers and learning new systems
• Basic knowledge of Microsoft Excel and Word
• QuickBooks experience preferred but not required
• Good typing and data-entry skills
• Strong organizational skills and attention to detail
• Good written and verbal communication skills
• Ability to manage multiple tasks and meet deadlines
• Dependable and able to work independently
• Comfortable handling confidential information

Experience working in a substance abuse, mental health, healthcare, or similar setting is a plus but is not required.
