5 Point Solutions is looking for an organized, motivated Technical Project Coordinator to help manage software development and IT projects while working directly with our clients, technical teams, and company leadership.

This is an excellent opportunity for someone early in their project management career who wants more than an administrative coordinator role. You will be given real responsibility, learn directly from experienced management and technical professionals, and help manage projects from initial requirements through successful completion.

Hours: Approximately 20 hours per week to start
Schedule: Part-time with regular in-office availability required

What You'll Do

Your primary responsibility is simple: help keep our projects, clients, and technical teams moving forward.

You will work closely with company leadership to understand how we manage projects and then take increasing ownership of the day-to-day coordination required to keep those projects on track.

Software Projects

Our software team builds custom applications, integrations, portals, and business solutions for our clients. You will help coordinate these projects from the signed Statement of Work (SOW) through development, testing, go-live, and completion.

You will:

• Review SOWs, requirements, specifications, and project expectations.
• Develop a clear understanding of what we have committed to deliver.
• Help translate requirements into project tasks, milestones, timelines, and goals.
• Create and maintain simple project plans and Gantt charts.
• Coordinate internal project reviews between developers, technical leads, and management.
• Participate in and help lead client project meetings.
• Record meetings when appropriate and turn conversations into clear notes, decisions, tasks, and follow-up items.
• Create and maintain tickets for the software development team.
• Track outstanding tasks and follow up with the people responsible for completing them.
• Communicate with clients through email, meetings, and scheduled project updates.
• Identify information, decisions, access, or resources our team needs from the client and obtain them.
• Build and maintain User Acceptance Testing (UAT) documentation.
• Coordinate client testing and follow up on outstanding UAT items.
• Track bugs, changes, questions, and decisions that come out of testing.
• Assist with identifying potential scope changes and escalating them to management.
• Coordinate go-live planning, scheduling, client communication, and rollout activities.
• Keep management informed of project status, risks, delays, upcoming milestones, and decisions that need attention.

IT & Network Projects

You will also coordinate projects for our Managed IT Services team.

These may include Microsoft 365 deployments, cloud migrations, cybersecurity initiatives, network upgrades, new client onboarding, hardware deployments, office moves, and other technology projects.

These projects may be less formal than our software development projects, but they require the same core skills: organization, communication, follow-through, and accountability.

Communication & Follow-Through

A significant part of this position is making sure things don't fall through the cracks.

You may need to contact a client because we're waiting for information, follow up with a developer about an outstanding task, schedule a technical meeting, update a project timeline, document a decision, or let management know that a delay will affect the project's completion date.

We want someone who is comfortable asking:

What are we waiting for? Who owns it? When will it be completed? And what happens if it isn't?

You will often serve as the communication bridge between our clients and our technical teams, so the ability to communicate professionally with both technical and non-technical people is extremely important.

What We're Looking For

You do not need to be a software developer or network engineer.

You do need to be interested in technology and capable of developing enough technical understanding to follow conversations, understand requirements, ask good questions, and communicate information accurately.

Previous experience in project coordination, software development, IT, professional services, an MSP, or a technology company is helpful but not required.
