JOB SUMMARY Provides operations support within a legal office environment, including operating duplicating equipment, copying tasks, mail handling, shipping and receiving, and hospitality assistance. Responsible for maintaining copier equipment, handling confidential documents, and providing professional support to legal staff. Key Responsibilities • Operate high-volume duplicating equipment and perform associated copying, binding, and finishing tasks. • Sort, distribute, and handle incoming and outgoing mail, faxes, and packages. • Perform shipping and receiving of products and supplies. • Provide copier maintenance and basic repair services for customer site equipment. • Assist with hospitality functions and back-up reception duties. • Handle highly sensitive and confidential documents with a focus on quality and timeliness. • Maintain records for management reports and inventory of supplies. • Distribute office supplies and mail to company personnel. • Calculate charges for jobs performed and maintain billing logs. • Respond to and coordinate service calls. • Perform filing duties, including scanning, file conversion, and file naming. • Manage Table of Contents (TOC) for electronic files and perform Optical Character Recognition (OCR) for keyword searching. • Provide professional support to executive-level end-users, including legal secretaries, project managers, paralegals, associates, and partners. • Ensure upkeep of convenience copier areas. • Perform duties related to meeting room and conference room setups. • May perform building occupant moves, re-lamping, light maintenance, and occasional cleaning duties. • Utilize various equipment such as shrink-wrap machines, paper cutters, hole drillers, bindery equipment, jogger, tape machines, stackers, electric staplers, scales, copiers, calculators, fax machines, postage meters, and PCs. • Comprehend instructions concerning mail delivery and written technical information from manuals. • Determine correct methods and packing materials and check packing slips for accuracy. • Troubleshoot and problem-solve issues related to equipment and processes. Required Qualifications • High School Diploma or GED. • 1-2 years of related work experience. • Ability to lift 50 lbs. • Ability to work independently and flexibly. • Possesses troubleshooting and problem-solving skills. • Excellent customer relations skills and excellent verbal communication skills. • Strong customer service, personal, and communication skills. Preferred Qualifications • Minimum of 2 years of experience in the legal industry. • Some related copy job experience. • Working knowledge of copier and other related equipment. • Basis electronics knowledge. • Knowledge and understanding of shipping/receiving procedures. • Ability to utilize a mixture of hardware and software to support functions such as cost recovery, document management and advanced workflow. Certifications • May require a valid driver's license and minimum levels of auto insurance coverage. Education: High School or equivalent
