Recruiting Coordinator

Strategic Staffing Solutions is currently looking for a Recruiting Coordinator, a W2 contract opportunity. Recruiting Coordinator 6-month W-2 contract with a possibility to extend/convert Bolingbrook, IL -Hybrid Schedule Onsite 6 days a month (Tues-Thurs every other week for corporate weeks) Must have skill: iCIMS Position Summary The Temporary Recruiting Coordinator provides high-quality coordination and administrative support to the Corporate Recruiting team. This role is primarily responsible for interview scheduling and iCIMS administration, while also supporting recruiting operations, candidate communications and team priorities as needed. The coordinator serves as a responsive, detail-oriented partner who helps keep hiring activity moving and creates a professional, welcoming experience at every interaction. Key Responsibilities iCIMS Administration and Data Quality Create and update candidate, requisition and interview records in iCIMS in alignment with established recruiting processes. Maintain accurate workflow statuses, interview details, notes, dispositions, correspondence and required documentation so records reflect current activity. Complete routine audits to identify missing information, duplicate records, aging tasks or other data-quality concerns; resolve or escalte issues promptly. Generate standard reports and trackers, share requested recruiting data and flag gaps or inconsistencies for the appropriate recruiter. Troubleshoot basic iCIMS workflow questions and elevate system or access issues through the appropriate support channel. Handle candidate and hiring information with discretion and follow all applicable data-privacy, records-retention and access requirements. Interview Scheduling and Candidate Experience Coordinate virtual and onsite interviews, including complex panels, multi-stage interview days and executive schedules. Gather availability, manage competing calendars and coordinate across time zones with candidates, recruiters, hiring managers and interviewers. Prepare and send accurate calendar invitations and confirmation communications with the correct candidate, job title, interviewers, times, time zones, links and virtual/onsite details. Monitor inboxes and scheduling queues, manage last-minute changes and communicate updates quickly to everyone affected. Provide candidates with clear, timely information and a polished, welcoming experience throughout the scheduling process. Partner with recruiters to confirm interview plans, surface scheduling risks early and keep searches moving against expected timelines. Corporate Recruiting Team Support Support requisition postings, candidate communications, and other process steps at the direction of the recruiting team. Maintain templates, shared files and process documentation so information is organized, current and easy to access. Assist with onsite interview days, project work, reporting and high-volume hiring needs as assigned. Identify recurring coordination issues and recommend practical improvements that strengthen efficiency, consistency and the candidate and hiring-manager experience. Qualifications At least one year of recruiting coordination, interview scheduling, talent acquisition support or comparable high-volume administrative experience. Hands-on experience using iCIMS experience is strongly preferred. Experience supporting a corporate or professional recruiting team in a fast-paced environment. Experience coordinating panel, executive, onsite or multi-time-zone interviews. Familiarity with recruiting reports, candidate disposition requirements and applicant-tracking data-quality practices. Proficiency with Microsoft Outlook, Teams, Word and Excel, including calendar management and basic trackers or reports. Strong written and verbal communication skills with the ability to interact professionally with candidates and stakeholders at all levels. Exceptional organization and attention to detail, with the ability to manage multiple priorities and frequent schedule changes. Ability to work independently, exercise discretion and protect confidential candidate and employee information. High school diploma or equivalent required; additional education or equivalent relevant experience is welcome.
