Benefits CoordinatorThe Benefits Coordinator is responsible for supporting the administration of the organization's employee benefits programs, including health insurance, retirement plans, wellness initiatives, and leave programs. This role serves as a primary resource for employees regarding benefit questions, assists with enrollment and eligibility processes, maintains accurate records, and helps ensure compliance with applicable laws and company policies. The Benefits Coordinator works closely with the Benefits Manager, payroll, HR, and external vendors to provide efficient and responsive benefits administration.Why Hazen and Sawyer:Founded in 1951 by the son of Allen Hazen (developer of the Hazen-Williams equation), we are an employee-owned company with a singular focus on "all things water."Our work includes planning, design, and oversight of construction of environmental infrastructure – for water, wastewater, and stormwater management.We foster a work environment low on bureaucracy and high in creativity.We recruit talented professionals, provide them with challenging, interesting, and creative assignments, and furnish them with the tools they need to succeed.We currently have over 2,000 employees in 80+ offices throughout the United States, Latin America, Canada, and the UK.Key Responsibilities:Respond to employee inquiries regarding benefits, eligibility, coverage, claims, and enrollment issues.Administer employee benefits programs, including health, dental, vision, life insurance, retirement plans, and other benefit offerings.Administer employee eligibility for benefit programs, including new hire enrollments, qualifying life events, dependent verification, and ongoing eligibility audits.Process benefit enrollments, changes, and terminations in HRIS and vendor systems.Assist employees with claims resolution by coordinating with insurance carriers and benefits vendors.Support leave administration activities, including tracking eligibility, documentation, and return-to-work requirements.Maintain accurate employee benefits records and ensure data integrity within HRIS and payroll systems.Support annual open enrollment activities, including employee communications, informational materials, and system updates.Prepare reports, audits, reconciliations, and required documentation related to benefits administration.Monitor benefit invoices and assist with monthly billing audits and discrepancy resolution.Ensure compliance with applicable federal, state, and local regulations, including ACA, COBRA, HIPAA, and ERISA requirements.Assist in developing employee communications, educational materials, and benefit presentations.Collaborate with payroll to ensure accurate benefit deductions and reporting.Build and maintain productive relationships with benefit carriers, brokers, third-party administrators, and other vendors to resolve issues and enhance employee service.Support wellness initiatives and employee engagement programs related to benefits.Maintain confidentiality of employee information and sensitive benefit data.Minimum Qualifications:Bachelor's degree in human resources, Business, Legal Studies, International Relations, or related field (or equivalent experience).Three or more years of experience in immigration coordination or global mobility.Demonstrated experience managing H-1B cap season end-to-end.Strong organizational, communication, and project management skills.Ability to handle confidential information with discretion.Preferred Skills:Experience supporting open enrollment and leave administration.Knowledge of ACA, COBRA, HIPAA, ERISA, FMLA, and related regulations.Strong problem-solving and issue-resolution skills.Ability to manage multiple priorities and deadlines in a fast-paced environment.Experience with HRIS and payroll integration processes.What We Offer:Comprehensive health benefits (medical, dental, vision, and prescription plans)Pre-tax flexible spending plans for medical, dependent care, and transportationShort and long-term disability, and employer paid life insurancePaid holidays, floating holidays, and paid time off (PTO)Employer-contributed 401(k) plan and additional financial planning supportProfessional growth opportunities, including tuition reimbursement, in-house training, and incentives for professional registration and professional organization membershipsStarting pay range for this position depends on skills, experience, education and geographical location
