Registrar Service Specialist

Learn more about Galen at: Galen College of Nursing ( Position Overview As a Registrar Service Specialist at Galen College of Nursing, you will provide consistent, friendly support to the students, faculty and staff and assist with the maintenance of academic records while enforcing policies and following established procedures of the college. Responsibilities Provide quality student service which supports thoughtful, equitable treatment of all students in the areas of registration and academic records, and to insure the confidentiality and accuracy of student records. Verify that students have met all enrollment/admission requirements including background checks and admission test thresholds. Assist in processing all readmission students. Provide timely notification to students of changes to their status with the college (e.g., probation, dismissals). Work with and assist other campus teams to meet student needs as assigned by the Registrar. Meet with students and contact them regularly regarding attendance, performance, and progression in the program; document all interactions in Ellucian Colleague. Provide support and assistance to all students including: Initial intake of students, ensuring understanding and agreement with transfer credit awarded. Registration assistance, including verifying all prerequisite/co-requisite rules are met. Processing waitlists as space permits. Registering students who are repeating. Assisting students with questions and issues. Assisting students with schedule adjustments during add/drop week or as needed (advising on impact of choices, including completion and financial aid). Assisting students with ordering of uniforms. Monitoring clinical compliance, contacting students who are non-compliant and working to obtain required documentation for participation in clinical courses. Provide professional assistance and support to the Academic Leadership of the campus. Assist in the preparation of reports and analysis related to student enrollment, registration, attendance, grades, and other information as needed by Academic Records. Assist in coordinating work with Student Success personnel to ensure students receive necessary assistance and resources. Relay information, comments/complaints from students so the campus may address situations as they arise. Assure compliance with all policies and procedures as outlined in the Student Catalog, Faculty Handbook, and College Policy & Procedure Manual at the campus level. Provide information on policies and procedures to students and staff when requested. Work with students to ensure compliance with Galen and affiliate requirements for participation (immunizations, CPR, drug screenings, etc.) as assigned by the Registrar. Support college/campus goals and contribute to attainment of campus goals. Track and report on student interactions, placement, and other campus goals as assigned. Participate in campus activities directly interfacing with students (orientation, open house, graduation). Attendance at a minimum of three graduations per year is expected. Other duties as assigned. Position Requirements Education: Work toward an Associate degree preferred. Experience: Two years’ experience in a college or academic setting preferred. Knowledge, Skills, Abilities: Knowledge or willingness to learn current student systems (e.g., Ellucian Colleague and Canvas, Unitime, Verified Credentials), knowledge of college catalogs, policies, procedures, state licensure requirements, campus resources for student support, registration and records procedures and systems, supervision; and the ability to communicate effectively with co-workers, customers, clients, or the public; to work cooperatively with various levels of management and students; to work under pressure and meet deadlines; and to work in a fast-paced environment. Physical Requirements: Ability to walk, stand, and sit for long periods; communicate concisely and effectively; operate a personal computer and office equipment; normal motor skills and eye-hand coordination.
