Job Duties/Scope Of Work Hanford Mission Integration Solutions (HMIS) is seeking a detail-oriented individual to join the One Hanford Integrated Services team to support Hanford in hosting Defense Nuclear Facilities Safety Board (DNFSB) Resident Inspectors and visiting DNFSB staff. The DNFSB is an independent Federal agency who provides safety oversight of the nuclear weapons complex operated by the Department of Energy (DOE) to ensure that activities are carried out in a manner that provides adequate protection for the public, workers, and the environment. This position will allow the candidate to demonstrate expertise in processing DNFSB information requests, visits, and reviews. This position interfaces with all levels of management within the Hanford Field Office (HFO) and Hanford prime contractors. This role requires strong organizational skills, attention to detail and the ability to handle sensitive information with discretion. Key Responsibilities Serves as the HFO point-of-contact with the DNFSB Resident Inspectors and visiting DNFSB staff. Communicates DNFSB concerns to appropriate management at all levels of the HFO organization and supports management in responding to and implementing DNFSB recommendations and other commitments. Maintains awareness of and coordinates DNFSB-related activities such as: (1) review and concurrence, (2) meetings and site visits, and (3) information requests. Provides support and guidance to the HFO contractors in all matters relating to the day-to-day activities of the DNFSB. Identifies commitments made and actions taken during briefings and site visits and follows up on commitments and actions to ensure satisfactory completion. Prepares agendas, coordinates meetings, prepares correspondence, tracks action items to completion, organizes orientation briefings and tours, provides for the necessary site-specific training, transportation, badging, and other logistics required for all DNFSB site visits. Advises and assists management in interfaces with the DNFSB and its staff. Assists in the preparation and maintenance of HFO procedures describing the DNFSB interface process. Develops and maintains metrics measuring HFO performance in meeting DNFSB requests. Reviews contractor presentations and advises HFO management as to their adequacy and address stated issues. Compiles responses to DOE HQ requests for information regarding DNFSB actions and activities. Performs other duties as assigned. Reviews or coordinates the review (appropriateness and scope) of documents and publications sent to the DNFSB. Manage and supply administrative support such as: medical exam scheduling for DNFSB Hanford Resident Inspectors and Cognizant Engineers, dosimetry for DNFSB staff (onsite and visitors), schedule training for DNFSB and staff, mailing the information requested to the correct DNFSB staff person(s), and keeping records/tracking for DOE and DNFSB of all internal and external correspondence. Basic Qualifications BA/BS degree plus 5 years of experience in records management, public administration, communications -OR- an equivalent combination of education and related experience. General knowledge of the DNFSB purpose and scope. Must be able to provide excellent customer service to all levels of management, peers, and staff. Must be proficient in database operations, word processing systems, and the use of Microsoft Office Suite, including MS Excel. General knowledge of badging and training requirements at a DOE-managed site. Demonstrated ability to produce consistently high-quality work under fluid conditions. Strong organizational, customer service skills. Analytical and critical thinking skills. Excellent written and verbal communication skills. Ability to handle confidential and sensitive information appropriately. Similar work experience in a legal or corporate setting. Ability to obtain and maintain a Personal Identity Verification (PIV) Credential badge. Desired Qualifications Experience in a federal government environment. Proficiency with records management systems. Familiarity with Hanford Site operations and history. Experience in public relations or communications. To obtain this credential, new employees must successfully complete and pass a federal background check investigation. This investigation encompasses multiple areas of eligibility and includes a declaration of illegal drug activities, including use, supply, possession, or manufacture within the last year. This includes marijuana and cannabis derivatives, which are still considered illegal under federal law, regardless of state laws.
