Onsite Office Manager (Pointe West)

Onsite Office Manager Location: Galveston, TX Community: Pointe West POA Pay Range: $55,000 – $65,000 per year (depending on education and experience) Job Type: Full Time Typical Schedule: Thursday - Monday Company Overview RealManage Elevated Onsite is a division of RealManage, specializing in association and HOA management services with a focus on customer service and lifestyle for residents and boards. Role Summary The Office Manager oversees the HOA’s administrative functions, staff, and office activities, and assists the General Manager with financial, operational, and architectural review processes. The role supports facilities, custodial, landscaping, and lifestyle departments. Responsibilities Architectural Review Duties and Responsibilities Attend monthly meetings with the Architectural Review Board; manage submissions, deposits, and refunds. Coordinate submittals for minor modifications and new construction, upload documentation, and maintain system records. Prepare meeting agendas, summarize materials, and distribute minutes. Perform site inspections of architectural projects. Office Duties and Responsibilities Provide clerical support: training staff, answering phones, sorting mail, issuing wristbands, and preparing documents. Manage work orders: create, update, send to vendors, and track status. Maintain office inventory and order supplies. Assist with employee hiring, training, and performance management. Maintain office files and implement an efficient filing system. Train new team members on company policies and procedures. Coordinate mass communication and manage board and annual meeting packages. Prepare annual disclosure and financial statement packages for homeowners. Assist the General Manager in community communications, including violation letters and hearing results. Attend required board, annual, and other meetings; may require outside regular hours. Respond to community emails within 48 hours and monitor staff response times. Greet homeowners, vendors, board members, and deliverers; direct issues appropriately. Support community association managers and department managers as needed. Oversee homeowner roster, database, and mail instructions. Review and approve vendor invoices daily. Monitor the association’s monthly financial position and variances. Ensure CPA engagement letters are received annually. Perform deed restriction inspections, common area inspections, and resale compliance checks. Submit vendor paperwork, including W‑9 and COI forms. Cover staff on weekends during summer and on holidays as needed. Other duties assigned by the General Manager or Board of Directors. Disclaimer This description is not an exhaustive list of duties.
