Administrative Officer

Job Reference 1635896 Overview Full‑time, fixed‑term opportunity until July 2027. Curtin University seeks an experienced Administrator to support the Properties, Facilities & Development (PF&D) team. The role involves coordinating a broad range of administrative activities, managing competing priorities, and contributing to facility, infrastructure and development projects. Key Responsibilities Provide high‑quality administrative support across PF&D, working closely with Directors and key stakeholders. Coordinate diaries, meetings and appointments, ensuring priorities are effectively managed. Organise meetings, prepare agendas, coordinate documentation and record actions where required. Provide reception and front‑of‑house support as required. Assist with project administration, including tracking actions, maintaining documentation and supporting project delivery. Coordinate internal events, workshops and stakeholder meetings. Prepare, edit and format correspondence, reports, presentations and other business documentation. Process invoices, purchase orders and other administrative transactions. Maintain accurate records and filing systems while handling sensitive information with discretion. Contribute to the continuous improvement of administrative processes and systems. Selection Criteria Demonstrated administrative experience in a busy and customer‑focused office environment. Strong organisational and time‑management skills, with the ability to manage competing priorities and deadlines. Experience coordinating meetings, calendars, events and administrative activities. Well‑developed written and verbal communication skills. Proficiency in advanced Microsoft Office applications, including Word, Excel, Outlook and PowerPoint. Strong attention to detail and the ability to maintain accurate records and documentation. Ability to handle sensitive information with discretion and professionalism. Strong interpersonal skills and the ability to build effective working relationships with a broad range of stakeholders. A proactive, flexible and team‑oriented approach to work. Experience providing administrative support within a large or complex organisation is highly regarded. Role Requirements Requires current work rights in Australia that match the tenure of this fixed‑term role. Successful applicants will be subject to a National Police Clearance, and background, integrity and reference checks. Your New Team – Properties, Facilities & Development (PF&D) The PF&D team is responsible for planning, delivery, maintenance and operation of the university’s physical assets. The team works closely with senior leaders and stakeholders across the university. Benefits Salary package of $83,283 – $91,103 plus 17% superannuation.
