Accounting SpecialistThe Accounting Associate is responsible for supporting MacPhail Center for Music in accounts payable, receivable, and collections in addition to general finance department support. This role maintains accurate financial records and ensures compliance with internal and external regulations. Additionally, the Accounting Associate provides a positive experience for employees and customers in all Finance interactions.Responsibilities & Essential FunctionsAccounts PayableManage incoming invoices including approvals and weekly payment processingGenerate and monitor the aging reportMonitor on-going contract expenses and make appropriate paymentsManage credit card processes with MacPhail card holders and post entries to appropriate accountsProcess expense reports and manage reimbursement for employeesAdminister the company credit card system (RAMP), including monthly reconciliations and employee trainingAccounts Receivable and CollectionsManage all cash receipts, make bank deposits, and record and reconcile depositsMonitor and prepare community partnership contracts, recognize associated revenue, manage invoices and prepare monthly reportsGenerate and process instrument and space rental contractsReconcile incoming contract payments to ensure all are accounted for and properly postedMonitor accounts receivable aging and follow up on past due amountsFinance Department SupportAssist with year-end audit preparation, filing 1099 forms, and other reporting requirementsProcess in-kind donationsOpen mail and route to appropriate partiesMaintain the records retention and documentation processRespond to any questions regarding expensesQualificationsCommitment to equity and inclusion practicesAssociate or bachelor's degree in accounting, finance, or related major, or comparable work experience, preferred3+ years accounting or finance experience; non-profit experience, preferredExperience with general ledger software, Sage Intacct preferred as well as 3rd party software for credit cards and invoice processingProficiency with Microsoft Excel, Outlook, and WordHigh level of efficiency and attention to detailPositive attitude and strong professionalismStrong verbal and written communication skillsAbility to work independently and manage multiple priorities
