Departmental Overview The UC Berkeley School of Journalism is a global leader in journalism education, preparing exceptional fact‑finders and storytellers to report the stories of our times and hold power to account. Position Summary The Events Coordinator assists with planning, organizing, and implementing the school’s external public events and internal community events. The Coordinator may independently coordinate small, non‑complex events and support assigned portions of larger or more complex events, such as venue logistics, catering, guest communications, staffing coordination, registration, or day‑of support. The Coordinator also provides related administrative support, database updates, spreadsheet and calendar maintenance, and communications assistance such as flyer design and social media publicity. Responsibilities Event Logistics and Execution Coordinate small/non‑complex school events and assigned portions of larger events. Manage event logistics, including room reservations, catering, facility requests, A/V coordination, supplies, signage, registration, guest lists, RSVP tracking, and day‑of setup. Set up or coordinate volunteer room preparation and in‑house AV. Serve as the on‑site point of contact for routine event logistics, coordinating with vendors, guests, speakers, staff, faculty, students, and campus partners. Provide logistical details to attendees, speakers, and guests, including schedules, arrival instructions, parking, accessibility information, and event flow. Escalate sensitive VIP, donor, speaker, high‑profile guest, policy‑related, safety/security, or budget‑impacting issues to the supervisor or appropriate school leadership. Event Administration, Compliance, and Budget Tracking Track event expenses, gather cost estimates, process routine purchasing/payment requests, and monitor spending against approved budgets. Process event‑related administrative paperwork, including vendor forms, purchase requests, reimbursement materials, facilities requests, permits, certificates of insurance, and other required documentation. Support contract, permit, and insurance processes according to campus policies. Report event statistics and maintain accurate records and post‑event documentation. Communications, Policy and Process Support Produce and distribute event flyers and create social media posts. Communicate routine event policies, procedures, timelines, and planning requirements to school staff and event partners. Monitor and respond to departmental/event‑related emails or route inquiries appropriately. Maintain event planning templates, checklists, calendars, process documents, and shared resources. Update assigned event‑related website content, calendar listings, registration pages, or internal planning materials. Event Staffing and Operational Support Coordinate approved student assistant, volunteer, and staff support for events; provide day‑of direction. Assist with staffing schedules and serve as an on‑site liaison for vendors, colleagues, and speakers. Maintain a working knowledge of team event processes to provide backup support for other school events and related operational needs. Participate in training, process improvement, and team efforts that support inclusive, effective, and accessible events. Other duties as assigned. Required Qualifications Working knowledge of event planning, production, and public relations principles. Knowledge of campus, its programs, policies, mission, goals, objectives, achievements, and infrastructure. Organizational skills with the ability to coordinate multiple details. Effective calendar management and scheduling for students or volunteers. Interpersonal communication skills and political acumen to represent the campus to its publics. Judgment, decision‑making, and problem‑resolution skills, including recognizing and addressing issues that require escalation. Ability to work in diverse groups, including students, staff, faculty, general public, production personnel, technical operators, and performing artists. Ability to work professionally under pressure and tight deadlines while ensuring excellent customer service. Excellent interpersonal skills and a desire to establish and maintain positive professional relationships. A flexible and collaborative approach to working with a small team. Education / Training Bachelor’s degree in a related area and/or equivalent experience/training. The budgeted hourly range that the University reasonably expects to pay for this position is $31.00 – $35.00. The full pay range for this classification is $30.17 – $51.92 hourly.
