Position Summary
-Primary support person for department, including MA in Economics Graduate Program -Primarily responsible for day-to-day office operations, including supervision of student assistants -Primarily responsible for maintaining and analyzing budgetary records, including ProfEd off-campus and online tuition and expenses, faculty grants and professional development accounts -Primarily responsible for purchasing and maintaining equipment. -Primarily responsible for scheduling paperwork including assignment of classrooms. Required Qualifications
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence. Preferred Qualifications
Knowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department. (i.e. Excel, Access, SAP).
Demonstrated ability to design/maintain web pages may be desired. Duties & Responsibilities
Acts with a high degree of autonomy and provides direct support to the Department Chairperson, and the Department.
Provides direct support for the Graduate Coordinator the MA in Economics Program including, but not limited to, processing and maintaining a database of all MA program applicants including compilation of application data, development and maintenance of files.
Coordinates and monitors work flow of the office.
Supervises student assistants, including hiring, supervision and training.
Prepares and initiates journal entries, reimbursements (both employee and non/employee), vouchers and purchase orders.
Prepares and initiates all payroll for the Department.
Maintains and analyzes budgetary records using SAP, such as reconciling, monitoring, making and tracking expenditures of the Department supplies and equipment budget, including ProfEd off campus and online tuition and expenses, professional development, grants, scholarships, department and purchasing card accounts. Preparing budget statements, and some budget projecting.
Makes travel arrangements and prepares materials for the Department's Speaker Series.
Prepares and distributes electronic submission of personnel and budgetary forms.
Responsible for department key inventory, distribution of Department keys, and maintaining a log of all keys assigned out and returned to the Department
Maintains a department class schedule, coordinates all faculty information in a database and produces a Department class schedule with office hours and enrollments each semester.
Schedules Department's assigned classrooms each semester, including assigning rooms, preparing and completed all required paperwork.
Prepares and distributes communication to faculty asking for book orders; coordinates book order requests, compiles and enters data in database; and prepares and distributes a report to the bookstore. Includes assistance in ordering exam copies and supplemental materials.
Prepares and distributes all student opinion surveys, department wide. Verifies and completes the SOS process. When results become available, compiles results and and distributes a report to the Department each semester.
Assists and coordinates all aspects of Department recruiting, including receiving and processing applications, file development, scheduling interviews and on-campus visits, and making travel arrangements.
Prepares and distributes scholarship application materials. Processes applications, compiles and prepares information for committee members.
Schedules rooms for and updates Department meeting minutes with announcements and distributes to faculty.
Maintains and updates personnel files, master course syllabi and files for majors and minors.
Maintains and updates an e-mail listserv for all Economics majors and minors.
Supports the curricular process by preparing documentation, monitoring progress through the process and coordination with other curricular bodies.
Attends training and education sessions to update skills and gain knowledge of new university procedures and policies.
