Attendance Clerk

Job Description Attendance Clerk role collects and maintains student attendance information, ensures compliance with district, state, and federal requirements, prepares reports, provides clerical support, and communicates information regarding school activities. Job Title Attendance Clerk Salary Class SC 30 Location Southside Middle School PCS Code 860003 Reports To Principal Position Type Full‑Time/Exempt Specific Duties and Responsibilities Communicates with parents, students, and staff in person, by telephone, or letter concerning attendance issues and meeting notification requirements. Ensures accuracy of attendance records, including verification of forgeries and truancies, complying with state laws. Maintains a variety of attendance records, schedules, and files (manual and computerized) such as contact logs, student attendance logs, and school calendars. Prepares reports and written materials (passes, standardized reports, letters to parents, etc.) to convey information about school and district activities. Processes documents and materials (attendance records, placement notices, disciplinary notices, etc.) for dissemination to appropriate parties. Responds to inquiries from staff, parents, probation officers, other schools, and students, providing information and directions. Accurately maintains state attendance registers for homeroom teachers, recording absences, tardies, and suspensions. Counsels students on attendance and tardiness, encouraging cooperation. Investigates attendance problems and reports findings to the principal and guidance department. Additional Duties Assists with the health room and other school duties as needed. Assists other personnel as required, supporting completion of their work activities. Performs related duties as required. Essential Functions Physical Requirements: Operate computers and basic office equipment, lift up to ten pounds, and perform sedentary work with occasional standing or walking. Data Conception: Compare and judge observable characteristics of data. Interpersonal Communications: Convey information, give and receive directions. Language Ability: Read policies, enter data, prepare correspondence and reports with proper formatting and grammar, and speak confidently. Intelligence: Apply logical thinking, define problems, collect data, and make independent judgments. Verbal Aptitude: Record and deliver information, explain procedures, and communicate effectively. Numerical Aptitude: Add, subtract, multiply, divide, calculate percentages, ratios, and time. Form/Spatial Aptitude: Inspect items for proper dimensions and read information visually. Motor Coordination: Coordinate hands and eyes with office machinery. Manual Dexterity: Handle office equipment and peripherals with basic coordination. Interpersonal Temperament: Adapt under stress and manage emergency situations. Physical Communications: Talk and hear effectively. Training and Experience High school diploma with one to two years of secretarial experience or equivalent education, training, and experience. Must type rapidly and accurately. Performance Criteria Evaluations Job Knowledge: Thorough knowledge of district policies, laws, and procedures, modern office practices, and computer database maintenance. Skilled in typing, documentation, and supervisory aspects. Quality of Work: Maintains high accuracy and immediates remedial action when needed. Quantity of Work: Completes duties efficiently. Dependability: Completes assigned work within deadlines and remains accountable. Attendance: Attends regularly, adheres to policies, and provides adequate notice for absences. Initiative and Enthusiasm: Self‑reliant and proactive. Judgment: Exercises analytical judgment, identifies problems, seeks advice, and monitors student behavior for safety. Cooperation: Accepts instruction and works collaboratively. Relationships with Others: Builds cooperative relationships and maintains a positive district image. Coordination of Work: Plans, prioritizes, and manages time. Safety and Housekeeping: Adhere to safety and housekeeping standards and maintain a clean workplace.
