Community Manager

Mission SPCSC is a vibrant and growing campus ministry of the Diocese of Austin whose mission is to welcome and serve the students of Baylor University, McLennan Community College (MCC) and Texas State Technical College (TSTC) by nurturing spiritual growth through reverent worship, holistic formation, hospitable fellowship, and generous service within the Catholic tradition. Position Summary The Community Manager coordinates and oversees day-to-day office life, facility management, and administration on behalf of the Rector. He or she is responsible for vetting and hiring vendors, building public awareness, and budgeting costs for events and daily operations to provide conscientious stewardship of center resources. Ministerial Character The Rector is the visible principle and foundation of unity of St. Peter Catholic Student Center entrusted by the Bishop. He makes Christ’s mission present and enduring in the St. Peter Catholic Student Center. In order to fulfill his mission, the Rector employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them. Positions employed at St. Peter Catholic Student Center help to extend the ministry of the Rector in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Rector in the performance of his ministry and thereby engages in ministry for the Church. Major Duties and Responsibilities Office Management Support and uphold the philosophy of Catholic ministry and the mission of St. Peter Catholic Student Center in both professional and personal life. Act as a witness to Gospel values by modeling the teachings of the Catholic Church. Continuously grow in ministry by participating in religious ceremonies, training sessions, and reflection activities as directed. Responsible for day-to-day physical operations of the church office and rectory including inventory control of office supplies and ensuring a pleasing atmosphere for visitors, parishioners, and staff. Supervise and support volunteers who help with office and facilities related tasks. Provide support for the Rector and staff as needed. Work cohesively with other departments and coworkers as part of a team. Pick up mail from PO Box. Scheduling Attend and participate in the weekly Operations Meeting and monthly staff meeting. Schedule room reservations for meetings – staff led, student ministries, events, etc. Manage the institutional online calendar in consultation with the Rector and other staff. Oversee room reservation system in consultation with Campus Minister, who approves ministry events. Maintain dates on Google Calendar including staff calendar, events, birthdays, room reservations. Finance Maintain check log in collaboration with accountant and Director of Development. Supervise sales of inventory and handle money, including weekly deposit information to the finance office. Administrative Coordinate opening and closing of the office during the week. Facilities management Supervise facilities interns. Responsible for overall maintenance and cleanliness of facilities. Oversee inventory for cleaning supplies. Establish and maintain relationships and contracts with vendors related to Office and Facilities Management such as Janitorial Services, Plumbing, A/C, Grounds/Landscaping, Rectory Housekeeping, IT, Security, Etc. Establish and maintain office records pertaining to vendors, contracts, sub-contractors, etc. EIM Site Facilitator Schedule and set up trainings. Maintain EIM records. Liturgical Supplies Inventory and order liturgical supplies during summer recess in the absence of the Liturgy Intern. Place annual order for Pew Missals. In addition to the above responsibilities, the Office Manager should be prepared to carry out any other tasks designated by the Rector. Requirements / Skills 1-2 years of supervisory experience. Experience with scheduling and ordering/managing supply inventory. Ability to create and maintain a welcoming, customer service focused environment. Excellent communication skills. Ability to work under pressure while multi-tasking. Ability to work flexible shifts: days, weekend, and/or nights. Excellent computer skills and experience with Microsoft Office and general computer applications. Experience with databases. Knowledge of the Catholic Church. Minimum Qualifications Education and Trainings High School diploma with additional years of experience beyond the established job experience requirement may be considered in lieu of a degree. Bachelor’s Degree requirement. Experience Three (3) years of full-time, wage-earning, general reception/volunteer coordination experience. Two (2) years of experience in word processing, publishing software, and data system computer programs. Licenses/Certifications Valid Texas driver’s license. Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period. Working Conditions All employees of the St. Peter Catholic Student Center are engaged in ministry and closely tied to the Rector in the exercise of his ministry and obligations to the church. The St. Peter Catholic Student Center is an at-will employer. All buildings and vehicles owned by the St. Peter Catholic Student Center are tobacco free. Working in a fast-paced environment with priorities and plans that may change rapidly. Working on weekends, evenings, and some holidays may be required. Will be exposed to religious ceremonies, conduct, and speech, including Roman Catholic Christian prayer and liturgical celebrations. Will be required to adhere to established dress codes and conduct standards. May be required to use personal or St. Peter Catholic Student Center vehicle to drive to off-site locations. Travelling within and outside the St. Peter Catholic Student Center to meetings and other events may be required, and travel may require overnight lodging. #J-18808-Ljbffr
