Position Summary

The Account Coordinator plays a key role in ensuring the efficient flow of products and communication between support teams and Account Managers. This position is responsible for coordinating container planning schedules, monitoring product due dates, and escalating concerns to appropriate department leaders. The Account Coordinator also provides backup support for Account Managers and helps ensure timely product delivery, operational efficiency, and customer satisfaction. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced environment.

Essential Responsibilities

• Plan container loads and coordinate loading schedules to ensure timely and accurate shipments.
• Track inbound product shipments, monitor expected arrival dates, and resolve delays or discrepancies.
• Proactively identify and resolve issues that may affect customer satisfaction or product delivery timelines.
• Communicate shipping updates, product availability, and potential concerns to Logistics teams and appropriate internal departments.
• Support Account Managers with order entry, customer communications, and account follow-up during high-volume periods and absences.
• Maintain accurate and current system records for shipment status, product arrivals, orders, and customer updates.
• Prepare and support reporting related to shipments, orders, and customer accounts.
• Utilize Asana to track orders, outstanding tasks, and internal communications.
• Respond promptly to stakeholder email requests and ensure established deadlines are met.
• Proactively manage and follow up on unresolved tasks each day to drive fill rate targets and sustain a 99% fill rate across customer accounts.
• Contribute to continuous improvement initiatives related to logistics, order management, and account management processes.
• Adhere to Richmond Wholesale employment policies, departmental procedures, and applicable federal, state, and local regulatory requirements.
• Foster effective cross-functional collaboration and maintain professional working relationships that support productivity and the Company’s mission and objectives.

Schedule and Attendance Expectations

• This is a onsite administrative role. Regular and reliable attendance, punctuality, and readiness to begin work at the scheduled start time are essential.
• Start times and schedules will be determined by the Director of Account Management with the Sr. Manager, Account Management and based on business needs.
• Operational, seasonal, staffing, customer, and surge conditions may require start times, schedules, assignments, or coverage to shift and remain subject to change. When practicable, adequate advance notice will be provided for planning purposes.
• The position may require early mornings, evenings, weekends, holidays, overtime, or emergency coverage. Non-exempt employees must accurately record all time worked and obtain required approval for overtime, without performing off-the-clock work.

Minimum Qualifications

• High school diploma or general education degree (GED).
• Experience in account coordination, customer service, logistics, supply chain, or a related field preferred.
• Proficiency in Microsoft Outlook and Word.
• Basic to intermediate skills in Microsoft Excel.
• Experience using Asana or a similar project management platform.
• Strong attention to detail and ability to manage multiple priorities effectively.

Physical Demands and Work Environment

• The work environment is a climate-controlled office setting that is well lit with a moderate noise level.
• Regularly stands and walks; frequently bends, reaches, grips, pushes, pulls, and works around powered equipment and vehicle traffic.
• Regularly lifts or moves up to 50 pounds and may move up to 100 pounds with assistance or approved equipment.
• Works in environments ranging from ambient temperature to approximately -10&degree;F, with moderate to loud noise, and must wear required personal protective equipment.
• Physical requirements may be met with reasonable accommodation where required by law.
