Position Description

MOVE Texas is seeking a Finance Operations Associate to execute day-to-day financial administration and strengthen internal operational infrastructure. This role plays a central part in maintaining sound financial health, transparent operations, and rigorous adherence to nonprofit compliance and governance standards. The Finance Operations Associate is responsible for managing core financial records—including accounts payable and receivable, invoice maintenance, payroll and financial reporting. Beyond routine accounting, this position works collaboratively across teams to clearly communicate financial processes and operational guidelines to strengthen internal systems and processes for efficiency. We are looking for an extremely detail-oriented, organized, and adaptable individual who manages time effectively, demonstrates strong judgment, and is invested in optimizing our cross-functional systems.

Essential duties and responsibilities may include, but are not limited to the following:  

• Accounts Payable, Payroll & Disbursement Operations: Assist with running payroll, processing invoices, managing vendor records (W-9s, 1099s, tax exemptions), handling expense reimbursements, executing weekly check runs, and maintaining a digital filing system for expenditure approvals.


• Accounts Receivable & Revenue Tracking: Support revenue data entry and collaborate closely with the Development team on regular reconciliations to ensure the accuracy of financial records.


• Financial Close, Budgeting & Reporting: Assist the Finance Operations Director with month-end and year-end close activities, account reconciliations, grant budget reporting, and the annual organizational budget development process.


• Nonprofit Compliance & Cost Allocation: Track and maintain internal compliance systems for 501(c)(3)/ 501(c)(4) legal separation, timekeeping, proper expense coding, and functional cost allocations.


• Audit Preparation & Calendar Management: Support preparation for annual audits, while maintaining the finance calendar to ensure payroll, reimbursement, and filing deadlines are met in coordination with external accountants.


• Internal Controls & Cross-Team Collaboration: Assist in implementing accounting policies and internal controls, maintain confidentiality with sensitive donor/financial data, and clearly communicate financial workflows to support staff across remote or hybrid teams.


• Other related duties, as requested.

Qualifications: 

• Must be at least 18 years old and legally eligible to work in the U.S. without sponsorship.


• Must be a Texas resident.


• Relevant Experience: At least one year of demonstrated experience in accounting, bookkeeping, finance operations, or non-profit administration.


• Financial Software & Systems: Proficiency or working knowledge of accounting software , expense management platforms, payroll and spreadsheet tools.


• Core Accounting Knowledge: Solid understanding of standard accounts payable/receivable workflows, financial reconciliations, vendor management (W-9s/1099s), and basic payroll coordination.


• Time Management & Organization: Strong organizational skills with the capacity to manage recurring deadlines (payroll, monthly closes, tax filings) while prioritizing daily requests.


• Attention to Detail & Accuracy: Exceptional record-keeping skills with a high degree of precision in data entry, coding, and record organization.


• Discretion & Integrity: Proven ability to handle sensitive donor, payroll, and financial information with strict confidentiality and sound judgment.

Preferred Qualifications

• Experience with nonprofit sector or multi-entity organizations. 


• Experience with Bill.com , BambooHR, Sage Intacct, Google Suite, Martus and JotForm. 

Physical & Mental Requirements

• Prolonged periods of sitting or standing at a desk, typing, and working on a computer screen.


• Occasionally walks, stands, and moves equipment weighing up to 20 pounds.


• Occasionally works in outdoor weather conditions. 


• Occasionally moves throughout the community and inside and across buildings to access meetings or to conduct site visits for work in a single shift.


• Learn new tasks, remember processes, maintain focus, complete tasks independently, make timely decisions in the context of a workflow, ability to communicate with coworkers and partners, ability to complete tasks in situations that have time constraints.

Compensation

This is a full-time, permanent, exempt position with comprehensive benefits, including health, vision, and dental insurance, unlimited paid time off, and more. The starting base salary is $55,000 with yearly increases up to a salary ceiling of $67,000. MOVE Texas operates as a statewide hybrid team with a 32-hour work week, Monday–Friday, though some evening and weekend work will be required. The position requires limited travel based on the needs of the organization. This is a union-eligible position.
