Job Description The VFX Coordinator manages the day‑to‑day administrative functions for the EVP of Visual Effects, interfacing with creative clients and high‑level executives. Essential Responsibilities Supports the EVP, VFX in the daily running of the department, taking notes on all projects in various stages of production. Manages various calendars and databases to ensure smooth operations of the studio. Handles distribution of digital materials for assigned Universal Pictures films during all production phases. Researches and organizes opportunities for innovative technology, ideas, and projects. Provides accounting support, including invoice processing, expense reports, and purchase orders. Arranges travel and accommodations for internal and project‑based teams. Assists with all office duties—telephones, schedules, calendars, files, correspondence, travel, expense reports, and other administrative tasks for the EVP of Visual Effects. Schedules meetings with filmmakers and studio department heads on production, finance, assets, clearances, computer support, labor relations, marketing, product placement, security, and insurance. Basic Qualifications Minimum of two years’ experience in a VFX coordination role or a similar position. Proficiency with the Apple platform, Microsoft Word, Excel, FilmMaker Pro, and Airtable. Superior verbal and written communication skills. Strong organizational and multitasking abilities. Acute attention to detail and a commitment to delivering high‑quality work. Ability to work collaboratively in a fast‑paced environment. Prioritization skills to manage multiple requests and projects in a deadline‑driven setting. Proactive anticipation of needs and problem resolution. Desired Characteristics Industry knowledge of artistic and technical VFX processes. Strong problem‑solving ability and adaptability to change. Additional Requirements Hybrid: Requires in‑office presence a minimum of four days per week; the Company reserves the right to change in‑office requirements at any time. Compensation and Benefits Salary: $50,000 – $60,000 per year. Benefits include medical, dental, and vision insurance, 401(k), paid leave, tuition reimbursement, and various discounts.
