Position Summary

The Listing Coordinator / Receptionist serves as the front-line point of contact for the Creegan Group office while simultaneously managing all MLS-related activity from listing inception through contract execution and close. This dual-role position requires exceptional organizational skills, a strong knowledge of MLS systems and real estate compliance standards, and a professional and welcoming demeanor.

MLS & Listing Management Responsibilities

• Manage all MLS listings from contract to close, ensuring accuracy and timely updates at each stage of the transaction

• Monitor days on market (DOM) for all active listings and proactively communicate status to agents and management

• Track and manage listing expiration dates; notify agents in advance to initiate timely renewals or price adjustments

• Schedule, coordinate, and post open houses in the MLS and all relevant marketing platforms

• Review all office MLS entries for completeness, accuracy, and compliance with MLS rules and regulations

• Audit listing photos, descriptions, required fields, and disclosures to ensure adherence to MLS standards

• Input and update listing changes including price reductions, status changes, and sold data

• Maintain organized digital records of all listing documentation and MLS correspondence

• Coordinate with agents on listing intake, ensuring all required documents are received prior to entry

• Generate and distribute regular DOM and listing status reports to agents and leadership

Receptionist & Office Administration Responsibilities

• Serve as the primary point of contact for all incoming calls, directing inquiries appropriately and delivering professional, courteous service

• Greet and assist walk-in clients, vendors, and visitors to the office

• Manage incoming and outgoing mail, packages, and deliveries

• Maintain a clean, organized, and professional front office and common areas

• Assist with scheduling appointments, meetings, and conference room reservations

• Support agents and management with general administrative tasks as needed

• Order and maintain office supplies, coordinating with vendors as necessary

• Assist with preparation of marketing materials, correspondence, and reports

• Perform other duties as assigned by the Director of Operations
