Position Overview:UMBC's Office of Institutional Advancement creates enduring relationships that result in philanthropic support for UMBC and help strengthen the institution. The Executive Administrative Assistant I will work with the Corporation and Foundations Relations and the Major Gifts teams, which support the University's mission by building and maintaining corporate, foundation, donor and alumni relationships and securing investments in UMBC.

Responsibilities:Reporting to the Assistant Vice President of Careers & Corporate Partnerships and the Director of Major Gifts, the Executive Administrative Assistant I will support two busy fundraising teams. The position will provide administrative/office management support to the AVP of Careers and Corporate Partnerships and Director of Major Gifts and ensure that the overall management of the office and its programs run smoothly.
The position is responsible for a broad range of administrative activities. Key responsibilities include calendar management, coordinating virtual and in-person meetings with both internal and external constituents, and serving as a first point of contact for donors and partners of the university.
On a daily basis, this individual will communicate with a broad range of university constituents that may include campus leadership, corporate executives, students, parents, donors, alumni and community members. In a fast-paced environment, this role requires clear and professional written and verbal communication skills, and will be exposed to matters confidential in nature requiring discretion.
The position provides support before, during and after meetings, including preparing reports and agendas, capturing action items and handling follow-up as needed. In addition to providing executive support, the position provides general support to two fundraising teams (six people). This position maintains a purchasing card and manages travel-related activities as needed.
The position will exercise independent judgment to resolve administrative problems and support donors and partners, and will be able to perform under pressure with a high degree of accuracy, professionalism, diplomacy and confidentiality. The incumbent will possess excellent written and verbal communication skills and have strong computer system and data management expertise.
Required Minimum Qualifications:- High School Diploma or GED
- Four years secretarial experience
- Ability to schedule meetings; manage a busy work schedule; use Google Docs, Box and Microsoft Office products; and interact with partners, donors and staff at all levels in a courteous and efficient manner
- Skill in composing a variety of correspondence; gathering and summarizing information; maintaining confidentiality and handling sensitive matters with discretion and tact; and planning and executing complicated assignments without instruction
- Ability to communicate effectively both verbally and in writing; understand and follow verbal and written instructions; project a professional and positive image of the institution
Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Preferred Qualifications:- Associate's Degree or higher
- Experience in an academic environment, experience providing executive support and/or donor relations experience
- Experience using a CRM or donor database for tracking and reporting
