Position Summary: We have an exciting opportunity to join our team as a Project Coordinator-Children's Surgical Services-Day Shift (35 Hours). In this role, the successful candidate Under the direction of the Program Director, Childrens Surgical Services and reporting to the Program Manager, Childrens Surgical Services, the Project & Operations Coordinator will provide administrative, operational, and data management support to ensure the ongoing success of the Children's Surgical Services program. This role is responsible for overseeing program data entry and validation, coordinating meetings, auditing performance indicators, providing project management, and streamlining program-related operations. This role also supports the maintenance of Level-1 Childrens Surgery Verification through the American College of Surgeons. With a strong focus on operational excellence, this role involves collaboration with divisional leaders and non-clinical teams to uphold the programs strategic objectives and deliver high-quality, patient-centered care Job Responsibilities: Collaborate with the Surgical Director, Program Director, and Program Manager of Childrens Surgical Services, Medical Director of Childrens Anesthesia, Vice President for Perioperative Services, Vice President for Children''s Services, various clinicians, and childrens hospital and perioperative leadership to organize, deliver, and evaluate services and systems that provide safe, high quality, and effective care to all pediatric surgical patients. Coordinate the collection and input of clinical data for the Childrens Surgery Performance and Safety (CSPS) Committee, including monthly entry of pediatric surgical cases into an associated database and distribution of surveys to committee members. Under the direction of the Program Manager of Childrens Surgical Services, participate in occurrence identification, case review, and coordination of process improvement activities as related to children undergoing surgery to address opportunities for improvement, promote loop closure, and enhance clinical outcomes. Conduct routine audits of key performance and operational metrics, to support Childrens Surgical Services programs and to maintain designation as a Level-1 Childrens Surgery Center through the American College of Surgeons. Maintain the Childrens Surgical Services patient safety event database by completing the daily input of childrens surgery-related incidents and escalating to Childrens Surgical Services leadership as appropriate. Facilitate and manage data requests, ensuring accurate and timely retrieval of operational, clinical, and performance-related information. Prepare regular data review summaries and trend analyses, under the direction of the Program Manager of Childrens Surgical Services, to support continuous monitoring, evaluation, and improvement of clinical practice and operational workflows. Provide administrative support for Childrens Surgical Services meetings including tracking meeting attendance, preparing meeting agendas, assisting in presentation development, and accurately documenting meeting minutes. Serve as the primary coordinator and point of contact for scheduling and facilitating meetings for Childrens Surgical Services. Maintain primary and backup Childrens Surgical Services-related call schedules and complete monthly compliance audits. Provide administrative support for maintaining Level-1 Childrens Surgery Verification through the American College of Surgeons, including monitoring corrective action plans, preparing documentation for reverification, and site-visit preparation. Assist in developing and distributing the Childrens Surgical Services recurring newsletter and other communication materials, including marketing campaigns and educational resources for patients and families. Act as the liaison for outpatient surgical offices by relaying program updates, announcements, and key changes to non-clinical administrative teams. Ensure project progress and assist with project management tasks, including maintaining project trackers (e.g., Gantt charts, project charters) and coordinating meetings for ongoing and future initiatives. Demonstrate knowledge of the organization''s Core Values and incorporate them into the performance of duties. Build and promote positive working relationships and effectively communicate with all stakeholders. Perform other assigned duties as designated by the Children's Surgical Services leadership. Minimum Qualifications: To qualify you must have a Bachelor degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details. Preferred Qualifications: A graduate degree, preferably in health care administration, business administration, public health, or the equivalent years of experience, is preferred. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
